Role Summary
The Compliance & Benefits Lead is a hands-on subject matter expert responsible for employee benefits administration and compliance across multiple states. This role partners with brokers and carriers to manage health and ancillary benefits, leads FMLA/ADA/leave of absence (LOA) processes end-to-end, oversees multi-state unemployment insurance (UI) claims and accounts, performs benefit invoice audits and ACA reporting, and ensures HRIS data integrity-primarily in UKG (and related systems). The ideal candidate is detail-oriented, deadline-driven, and experienced in a remote, multi-jurisdiction HR environment.
Key Responsibilities
Benefits Administration & Vendor Management Serve as primary liaison with brokers and carriers for health, dental, vision, life/AD&D, disability, EAP, and voluntary benefits. Manage annual Open Enrollment (OE) timeline, communications, plan mappings, testing, and post-OE reconciliation. Process new enrollments, qualifying life events (QLEs), terminations, and corrections; ensure timely and accurate EDI/eligibility feeds. Conduct monthly benefit invoice audits (medical, dental, vision, life/AD&D, disability, COBRA) vs. HRIS/carrier eligibility; research variances and coordinate credits/debits. Maintain plan documents, SBCs, SPDs, notices (e.g., CHIPRA, WHCRA), and ensure distribution and recordkeeping. Leave of Absence (FMLA/ADA/State Leaves)
Own end-to-end FMLA, ADA accommodation workflows, and company/state LOAs: intake, eligibility, notices, tracking, recertifications, and return-to-work. Track leave hours and balances (intermittent and continuous) in UKG; monitor overlaps with PTO, STD/LTD, and coordinate with payroll. Lead the interactive process for ADA; document rigorously and coordinate accommodations with managers and IT. Maintain a leave dashboard for leadership; report on utilization, duration, and compliance metrics. ACA Compliance
Manage Affordable Care Act compliance: ACA measurement/stability periods, offer tracking, affordability testing, 1094-C/1095-C preparations, and vendor/carrier reconciliations. Audit full-time status, look-back calculations, and coverage offers; partner with payroll/HRIS for accurate coding and year-end filings. Unemployment & Employment Status Changes
Administer multi-state unemployment insurance (UI) claim responses, hearings, and appeals; maintain state accounts and SUI rate documentation. Coordinate terminations: eligibility/benefit end dates, COBRA notices, final pay/benefit deductions, and system updates; ensure compliant documentation and timely processing. HRIS/UKG Data Integrity & Compliance
Maintain accurate UKG records for benefits, leaves, job codes, and status changes; drive data quality and audit readiness. Build and run scheduled audits/reports (eligibility, LOA status, ACA indicators, cost/variance reports); prepare dashboards for HR leadership and Finance. Partner with IT/HRIS on workflows, security roles, and testing of configuration changes. Policy, Training & Documentation
Draft and update SOPs, employee communications, and manager guidance for benefits, leaves, COBRA, and ACA. Provide training to managers and HR staff on LOA/FMLA/ADA processes, timelines, and documentation requirements. Ensure HIPAA privacy and security compliance in all benefit and leave processes. Cross-Functional Support
Assist on other HR projects and initiatives as needed. Qualifications
5+ years of progressive experience in benefits administration and HR compliance, including direct ownership of FMLA/ADA/LOA in a multi-state environment. Demonstrated experience with UKG (Pro/Core) for benefits and leave tracking; strong Excel/reporting skills. Working knowledge of ACA, COBRA, ERISA, HIPAA, FMLA, ADA, and state leave laws; experience with multi-state unemployment insurance claims. Prior experience collaborating with brokers and carriers and auditing benefit invoices/eligibility. Remote work experience with distributed teams; excellent written and verbal communication. Preferred
Experience with benefits administration platforms (e.g., Employee Navigator) and EDI file troubleshooting. Healthcare or call-center industry experience. Professional certifications (e.g., SHRM-CP/PHR, CEBS, CPDM/CLMS) a plus. Key Competencies
