Summary
The Municipal Clerk II (B) is responsible for providing clerical support to the Municipal Court. Essential Duties and Responsibilities
Works with the Deputy Municipal Court Clerk (Finance) to compose and compile letters to send out notices to delinquent violators for the Judicial Council of Georgia, the Administrative Office of 16.58the Courts' Tax Refund Intercept Program. Works with the Deputy Municipal Court Clerk (Finance) to create and upload delinquent files via the FTP server to the AOC for the TRIP Program. Serves as primary contact on all TRIP Program related cases in the absence of Deputy Municipal Court Clerk (Finance). Monitors and works the new case management system's FTA work queue to manually add FTAs to all warranted cases. Answers the phone and works closely with Law Enforcement agencies, the public and departments within the Courthouse, and all other office visitors, providing information about citations and fines, conducting initial intake interviews, processing requests for release of confidential information, securing required authorization, preparing appropriate information for releases, and delivering good customer service. Receives and records fines and cash bond payments, for maintaining files relative to the same, handling continuances, handling DPS 912's, NSFs, and issuing subpoenas. Processes citations, deprivation and delinquent petitions and motions; enters data into computer database; sets hearing dates and assigns cases to appropriate calendar; processes cases transferred from other courts. All either at the window, by U.S. mail, e-mail, and by drop box along with balancing the daily receipts. Submits Departmental reports to judge, maintains and operates the court's separate Court Order filing system, verifies and scans court document dispositions and archive cases, and files and distributes certified copies and other documents as needed. Tracks status and reports progress of non-disposed cases to ensure that cases do not get backlogged. Reviews and disseminates Blight Orders and Judgements issued by the Municipal Court Judge. Reviews and disseminates Blight Motions and Notices filed by the Assistant County Attorney. Processes incoming high-level and low-level open records requests. Processes, updates, and monitors in-house Community Work Service cases. Preps and processes bench warrants on a weekly basis. Creating, monitoring, and maintaining the Call Log for Municipal Courts incoming calls and reporting monthly totals to my director Education, Training and Experience The Municipal Clerk II (B) should possess, at minimum, a high school diploma (or equivalent) supplemented by five (5) years of clerical experience; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position; and ability to type 40 words per minute. Necessary Special Requirements:
Possession of a valid Georgia Motor Vehicle Operator's License. Knowledge, Skills, and Abilities
Knowledge of the laws and procedures governing the functions of the Municipal Court. Knowledge of the functions, operations, and procedures of the Municipal Court. Knowledge of modern office practices and procedures. Knowledge of English grammar and spelling. Knowledge of personal computers and basic office programs. Knowledge of bookkeeping principles and practices. Ability to type up to 40 words per minute. Ability to coordinate and oversee the work of clerical employees when so directed. Ability to make priority decisions in accordance with established rules, regulations, and Departmental policies. Ability to establish and monitor the maintenance of complex recordkeeping systems and to prepare reports from these records. Ability to use discretion in handling sensitive materials and other confidential information. Ability to maintain effective working relationships with fellow employees and with members of the general public.
