The Opportunity
We are seeking a Senior Assistant Project Manager with at least four years of experience in luxury commercial construction to support and lead daily operations on high-profile projects nationwide. This role bridges the gap between an Assistant Project Manager and a Project Manager. The Senior Assistant Project Manager will actively contribute to project execution while gaining exposure to higher level project management responsibilities, providing a clear path toward becoming a full Project Manager.
Core Duties and Responsibilities
New project set up and coordination with field personnel.
Responsible for obtaining permits or approving revisions, including frequent visits to municipalities to expedite processes and avoid project delays.
Assist PM/Sr. PM in negotiating scope and costs with subcontractors and prepare and issue subcontract including specific terms and conditions.
Assist in developing the project construction schedule in conjunction with the Project Manager and Superintendent and the required Subcontractors.
Schedule and track delivery of materials/supplies and equipment ensuring on-time delivery.
Assist the PM/Sr. PM in processing all Subcontractor Requests for Information (RFI), and process submittals and Requests for Proposals (RFP) forms.
Manage project logs, schedules, submittal logs, subcontracts, RFIs, Shop Drawings, permits, inspections, purchase orders, certificates of insurance, change orders and plans.
Prepare, distribute, and monitor Change Order Requests by Owner and Subcontractors.
Organize project folders ensuring up to date information and optimum flow of information at all times (e.g. specifications, plans, plan revision, transmittals, purchase orders, changes, contracts, etc.).
Prepare weekly project reports and attend meetings with clients.
Responsible for closeout documents, including warranties, as-built drawings, punch lists, etc.
May be required to independently manage small construction projects of limited scope and complexity.
Support PM/Sr. PM with project cost tracking, including reviewing subcontractor and vendor invoices and preparing recommendations for approval.
Assist in risk identification and support PM/Sr. PM in resolving scheduling conflicts, delays, and other project challenges in a solution-focused manner.
Assist in client communication and project meetings by preparing meeting notes, updating progress reports, and occasionally co-leading meetings with the PM/Sr. PM.
Collaborate with PM/Sr. PM on subcontractor buyout and trade leveling to gain exposure to trade selection and cost control processes.
Support PM/Sr. PM in maintaining and updating project schedules, ensuring changes are communicated to stakeholders.
Gain exposure to project financial accountability by tracking costs and reporting variances, while PM/Sr. PM retains ownership of profitability goals.
Assist management as needed.
Experience, Knowledge, Skills, and Abilities
Education: Bachelor’s degree ().
Minimum of 3 years of commercial construction experience.
Proficient in reading construction drawings and specifications.
Excellent communication skills with a positive, team-oriented attitude.
Fluent in English (Spanish is a plus).
Strong proficiency in Microsoft Office (Excel and Word) and project scheduling software, with Procore experience highly .
Strong time management skills, with the ability to prioritize and create realistic action plans.
Skilled in identifying and resolving deficiencies, collaborating with Project Managers for solutions.
Maintains professionalism under pressure, demonstrating accuracy, thoroughness, and follow-through.
Completes tasks efficiently and continuously seeks to improve productivity.
Follows instructions and responds well to management direction.
OSHA 30 certification (training provided).
