Responsibilities System Reporting Analyst & Space Optimization supports the strategic and operational effectiveness of Sales and Event Management by combining data-driven reporting, system accuracy, and proactive space optimization. The role safeguards revenue potential, protects high-demand patterns, and ensures compliance with internal standards and policies.
Examples of duties include, but are not limited to the following:
Contract & Space Compliance
Review group contracts to ensure meeting space is blocked accurately and in accordance with policy.
Safeguard out-months by confirming meeting space aligns with guest-room pickup expectations.
Conduct regular space audits to verify event details (e.g., load-in/load-out) are reflected per SOPs.
Space Optimization & Pattern Protection
Monitor and analyze meeting/event patterns YoY to identify shifts in usage or group behavior.
Recommend pattern-protection strategies to optimize allocation of high-demand space.
Implement staggered load-ins to maximize function-space efficiency and reduce overlap.
Reporting & Data Analysis
Produce recurring and ad-hoc reports on space utilization, catering revenue performance, and free-sale opportunities.
Partner with Catering and Event Management to identify trends and opportunities for incremental revenue and operational efficiency.
Deliver month-end and quarterly reporting for leadership visibility.
Strategic Oversight
Review catering free-sale windows to maximize yield and accuracy within Delphi.
Track and flag variances between contracted and actualized group patterns; initiate follow-ups with Sales/Event leaders.
Collaboration
Maintain a dotted-line partnership with the VP of Event Management to align insights with execution.
Collaborate cross-functionally with Sales, Revenue Management, and Event Management to translate reporting into operational action (e.g., load-in/out constraints).
Qualifications
Exceptional attention to detail and systems accuracy (e.g., meal periods, classifications, data hygiene).
Strong analytical mindset with the ability to translate data into clear operational recommendations.
Familiarity with group contracting standards, event patterns, and meeting-space allocation.
Proficiency in Delphi (or comparable EMS/Cvent), Excel/BI tools, and report building.
Clear, professional communication; strong stakeholder partnership skills.
Bachelor’s degree in Business, Hospitality, Analytics, or related field preferred.
2–4 years in hospitality analytics, sales/event systems, revenue management, or catering/event operations; luxury or high-volume resort experience preferred.
