Principal Responsibilities:
Position Overview
The Stamford JCC is seeking a dedicated Youth & Camp Office Manager and Operations Coordinator to serve as the central hub for all K-5 enrichment programs, childcare services, and camp operations. This full-time, on-site position combines office management, customer service, vendor coordination, and transportation logistics to ensure seamless program delivery and exceptional family experiences. As the primary point of contact for families and participants, you will act as a concierge for registration across all youth programs while supporting the operational excellence that defines our community-centered approach.
Key Responsibilities
Program Operations & Administration
Serve as primary point of contact
for all youth and family participants, providing best-in-class customer service for registration across K-5 enrichment programs, childcare, and camp services Manage enrollment processes
including application intake, document collection, family communication, and registration coordination through CRM systems Coordinate daily operations
for multiple youth programs including KidsPlace After School, Day Camps@The J, vacation day programming, and enrichment classes Oversee scheduling functions
for programs, staff, activities, and facility usage to maximize efficiency and minimize conflicts Vendor Management & Procurement
Manage vendor relationships
for program supplies, equipment, food services, and specialty programming needs Coordinate purchasing activities
including ordering supplies, processing invoices, maintaining inventory, and ensuring budget compliance Liaison with external service providers
for maintenance, equipment rental, transportation services, and contracted programming Assist with contract negotiation
and service agreements for camp and youth programming vendors in collaboration with leadership Transportation Coordination
Serve as Transportation Coordinator
managing all aspects of youth program transportation including field trips, camp excursions, and off-site activities Manage transportation logistics
including route planning, staff assignments, permission documentation, and emergency protocols Maintain transportation records
and ensure proper licensing, insurance, and safety compliance for all program-related travel Customer Relations & Family Engagement
Provide exceptional customer service
to families through phone, email, and in-person interactions regarding program information, registration, and concerns Facilitate family communication
including program updates, schedule changes, important announcements, and emergency notifications Support family engagement initiatives
including orientation sessions, special events, and community-building activities Resolve operational issues
and customer concerns in collaboration with program leadership Technology & Data Management
Manage CRM system
for participant enrollment, family information, program tracking, and communication workflows Support technology transformation
initiatives during mid-year system changes, including data migration and staff training Maintain accurate databases
for enrollment, attendance, billing, and program evaluation purposes Generate reports
for program management, compliance requirements, and strategic planning Minimum Qualifications:
Education & Experience
Bachelor's degree
in Business Administration, Operations Management, Education, or related field preferred 1-3 years of experience
in office management, customer service, or youth program administration Experience with enrollment coordination
or registration management in educational, camp, or youth programming environments Technical Skills
Proficiency in Microsoft Office Suite
including Excel, Word, Outlook, and PowerPoint for daily operations and reporting CRM experience
with customer relationship management systems, databases, and enrollment software platforms Comfort with technology transformation
and ability to adapt to new systems and software implementations during organizational changes Data management skills
including database maintenance, report generation, and analysis capabilities Professional Competencies
Exceptional organizational skills
with proven ability to manage multiple projects, deadlines, and competing priorities simultaneously Strong customer service orientation
with excellent verbal and written communication skills for diverse family populations Vendor management experience
including contract negotiation, relationship building, and performance monitoring Problem-solving abilities
with capacity to resolve operational challenges and customer concerns efficiently Physical Requirements & Work Environment
On-site position
requiring full-time presence at the Stamford JCC campus during business hours Ability to lift up to 25-30 pounds
for supply management and event coordination Flexibility for occasional evening and weekend work
during special events, camp sessions, and program activities Multi-tasking capabilities
in fast-paced environment with frequent interruptions and varying priorities Salary:
