is looking for a Veterinary Specialty Referral Coordinator to join our team as part of the Thrive Pet Healthcare community.

About You This position's purpose is to provide outstanding client service. The Referral Coordinator (RC) is responsible for answering phone calls, distinguishing between routine and emergency cases, scheduling consultations and procedures (including recheck appointments), relaying client communications, coordinating medication refills, processing payments, managing financial information, and facilitating communication between clients and staff.

The RC enjoys working with diverse clients and possesses a caring, friendly, and efficient demeanor. This role creates a warm and welcoming impression and remains professional and courteous while handling multiple tasks amidst frequent interruptions.

The RC firmly believes in the quality of care and effectively communicates this assurance to clients. They understand the services and recommendations and can convey this information to clients. The RC empathizes with clients and maintains a compassionate and polite demeanor, even if a client becomes emotional or discourteous. Ultimately, the RC creates a positive first and last impression on clients, making this role paramount.

Experience & Skills Requirements

The ideal candidate must have at least 2 years experience as a Veterinary Technician

Must maintain a clean and professional appearance at all times.

Know the range of services the practice provides and the species it treats

Ability to follow OSHA standards and hospital policies

Know standard medical and business abbreviations

Demonstrate ability to show empathy toward clients and treat animals with respect and compassion

Excellent interpersonal communication skills

Role Responsibilities

Returns client calls promptly and takes live calls whenever possible.

Operates a multiple-line telephone system, answering incoming calls, placing callers on hold, transferring calls, and paging staff members. Takes and routes messages for specialty veterinarians and staff.

Confirms specialty appointments with clients before their appointment date to ensure attendance.

Report Directly to the Client Service Manager and will periodically receive direction from the Hospital Administrator.

Follows established hospital guidelines for communicating with clients across different situations, including general inquiries, scheduling appointments, addressing routine and non-routine medical questions, handling patient emergencies, and processing prescription refills.

Responds to basic questions about hospital services, fees, and animal care and treatment in line with hospital policies, directing more complex inquiries to a veterinarian or other staff.

Utilizes active listening skills to gather clients' medical and personal information.

Identifies potential client issues, complaints, or questions and handles them appropriately.

Communicate with clients regarding invoices and the medical status of their pets as needed.

Provide clients with any necessary information or instructions before their appointments.

Maintains knowledge of current wellness-care standards and common medical problems.

Keeps client contact information up to date.

Supplies referral information to clients regarding primary care veterinarians or other emergency clinics.

Provides accurate procedure quotes for inquiring clients.
