Overview
Central Oregon Pediatric Associates (COPA) is hiring a full-time Patient Operations Specialist - Evenings in Redmond, OR. Schedule: Monday - Friday, 11:30am - 8:30pm. Location: Redmond, OR (In-Person). Responsibilities
Greeting and welcoming customers with exceptional customer service in person and by phone Registration information verification in person and by phone Check-in of patients properly and thoroughly without errors Listen to patients and make them feel welcomed while maintaining appropriate flow Fill in all required fields within EMR to ensure quality care Clear communication with staff across all departments to ensure proper daily flow Scan and label documents into the proper locations Provide correct forms and release of information to patients and parents for proper flow for providers and clinical staff Answer and transfer calls correctly Create encounters to clinical departments, providers, and other departments efficiently Schedule future and same-day appointments correctly (repeat date, time & location) Verify insurances and possess knowledge of insurances Maintain Patient Portal/ My Health appointments and assist families to create accounts Deliver labs and faxes to appropriate areas Restock forms as needed Collect money and copays by phone and in person; post payments correctly and balance tills Quality assurance of fee slips for processing Audit accounts for accuracy Proper follow-through with follow-up appointments/check-out Relay appropriate appointment detail and financial information to patients prior to appointments Exercise problem-solving and conflict resolution within provider schedules Knowledge of HIPAA & rules for medical records regulations May be asked to participate in the training program for all new hires May be required to travel between COPA clinics and the business office Performs other related work as directed by immediate supervisor Qualifications
Education and Certification
High School diploma or equivalent required. Recognized certifications include: AHIMA - RHIT, AAPC - CPC, OHA - HCI Qualified or Certified Interpreter. (Not required for role.) Experience
Three years of customer service experience required; clerical experience in a clinical setting preferred. Intermediate and advanced phone, verbal and computer skills. Ability to work well under pressure with minimal supervision. Flexibility and willingness to handle a variety of tasks. Ability to adapt to changing needs of the department and organization. Must be flexible and willing to work at any COPA site during evenings, weekdays and weekends as needed for coverage. Epic EMR experience preferred. Proficient with Microsoft Office Suite. Bilingual in Spanish and English is a plus. Physical Requirements
Clear and audible speaking voice; ability to hear normal speech level in person, over the telephone, or via required technology. Sitting or standing for long periods. Frequent repetitive motion (keyboard use). Occasional lifting and/or moving up to 30 pounds and on rare occasions up to 50 pounds. Vision abilities include close, distance, color, peripheral vision, and depth perception. Must be able to wear appropriate personal protective equipment (PPE) as required. Working Conditions
Work inside a general medical office or personal office (HIPAA compliant) with ergonomically configured equipment. Travel between COPA clinics, business office and community partners as required. In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and complete the required employment eligibility verification form upon hire.
