Position Overview The Office Manager is key in delivering exceptional client experiences and ensuring smooth day-to-day office operations. This individual will be the first point of contact for many clients—both in person and by phone—providing a warm, professional, and solutions-oriented presence. The role combines administrative support, client service coordination, and office management responsibilities, making it ideal for someone who enjoys variety and collaboration.

Key Responsibilities Client Service & Relationship Management

Serve as the first point of contact for clients and visitors, creating a positive and welcoming experience.

Deliver exceptional service for new and ongoing clients, listening carefully to needs and resolving concerns with professionalism and timeliness.

Assist with client operations support, such as onboarding, document collection, file maintenance, and responding to client requests with an emphasis on accuracy.

Apply the company’s customer support policies, standards, and procedures during all client interactions.

Administrative & Office Support

Provide administrative support to office staff, including scheduling meetings, preparing documents, and managing data entry.

Coordinate incoming and outgoing mail, deliveries, and office supply inventory.

Support special projects and operational initiatives as needed to help achieve business objectives.

CORE COMPETENCIES

Excellent interpersonal, written, and verbal communication skills.

Strong teamwork skills and ability to work both collaboratively and independently.

Professional judgment, discretion, and attention to detail.

Organizational skills with the ability to manage multiple priorities simultaneously.

Competency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and video conferencing platforms.

Qualifications

2-5 years of customer support or administrative experience, preferably within the financial industry.

Associate’s or Bachelor’s degree preferred.

Proven ability to manage conflicting priorities and maintain accuracy under pressure.

Comfortable navigating proprietary systems and conducting online research.

Physical Requirements

Ability to operate standard office equipment and technology, with or without accommodation.

WORK ENVIRONMENT Activities take place in an office environment or a secure remote location. The noise level is typically quiet. Capital Planning Advisors functions within a dynamic economic environment. This job description is a summary and not a contract.
