Compliance Associate

Location: Edison, NJ

Compensation: 70k The Compliance Associate plays a critical role in ensuring the organization’s adherence to regulatory requirements and internal policies. This position supports and executes compliance initiatives, conducts thorough evaluations, and maintains oversight across all key operational areas. The ideal candidate brings experience in pharmaceutical or healthcare compliance and demonstrates sound judgment in decision-making under guidance or independently.

Position Responsibilities

Perform comprehensive due diligence reviews on vendors and customers

Lead and assist in the onboarding process for vendors and customers

Maintain and update customer accounts, including reactivation as needed

Process and track licensure updates across entities and states

Maintain working knowledge of company Policies & Procedures (P&P) and Standard Operating Procedures (SOPs)

Support preparation for regulatory inspections and respond to document requests

Analyze and report on purchase, credit, and return activities

Manage compliance-related logs, spreadsheets, checklists, and records

Assist with license renewals and registration processes (e.g., state licenses, registered agent updates)

Monitor industry trends, regulatory updates, and compliance best practices

Conduct internal audits and compliance inspections to ensure regulatory alignment

Research and document activities related to orders, receiving, shipping, and returns

Prepare monthly compliance and activity reports

Oversee specific regulatory categories such as Puerto Rico distribution and Gabapentin compliance

Evaluate incident report logs for returns and complaints, ensuring proper documentation, follow-up, and resolution in line with regulatory requirements

Administer compliance-related records via Smartsheet

Approve and monitor Controlled Substance (CS) orders, including review of DEA questionnaires, certificates, licenses, disciplinary checks, and verification processes

Support product recalls and vendor due diligence, including manufacturer questionnaires and vendor onboarding

Distribute updated licenses for internal and external platforms, archiving as needed

Manage third-party platform account updates, due diligence, and activations/deactivations
