POSITION OVERVIEW This is a union position under the Deputy Sheriffs' Association (DSA) negotiated agreement with Gallatin County.

The Booking Clerk is located in the Sheriff's Office at the Detention Center and is responsible for performing clerical, administrative, and operational support within the booking area. Key duties include answering phone lines, filing, copying, processing court paperwork, assisting with inmate booking and release, and maintaining property room organization. The position provides critical support to Booking Officers and the Booking Sergeant, helping to ensure accurate documentation, timely processing, and secure facility operations.

This position reports to the Booking Sergeant and does not directly supervise other County personnel.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES Answer incoming phone lines in the Booking Room; provide assistance to callers, respond to questions, and direct calls to the appropriate staff or department. Perform routine clerical duties, including copying, faxing, filing, scanning, and emailing various documents related to inmate records, bookings, and court paperwork. Communicate with courts, attorneys, public defenders, medical staff, and law enforcement regarding court schedules, paperwork, and inmate information. Enter, update, and maintain booking and court information in the Jail Management System (JMS). Maintain accurate and organized inmate hard files; scan and upload documents to JMS and prepare files for secure shredding once verified. Deliver and retrieve paperwork and bonds from the Law and Justice Center, including Justice, District, and City Courts. Maintain and organize the property room on a daily basis to ensure accurate tracking and security of inmate property. Assist with inmate booking and release processes, ensuring accuracy and timeliness. Notify victims when inmates are released, in compliance with statutory requirements. Provide assistance and support to Booking Officers and respond to questions regarding booking or court paperwork. Assist in the training of new officers and staff on booking documentation and processes. Monitor for safety and security issues; report critical information that may affect operations to the supervisor or security staff. Read and respond to email and administrative communications to stay informed of procedural changes or directives. OTHER DUTIES AS ASSIGNED

Perform other duties as assigned by the supervisor, including coordinating special projects, conducting system research, attending meetings, assisting with departmental events, and completing continuing education or training as required.

If the County Commission proclaims a local emergency due to an actual or threatened disaster (such as earthquake, fire, riot, or flood), County employees may be required to provide services during the emergency and throughout the recovery period.

QUALIFICATIONS

Knowledge of:

General recordkeeping and office procedures. Court paperwork, filing requirements, and detention operations. Confidentiality laws, including HIPAA and criminal justice information standards. Multi-line phone systems, two-way radios, and basic security protocols for secure facilities. Common office software (Microsoft Outlook, Word, Excel, and related systems). Skill in: Performing administrative and clerical tasks accurately and efficiently. Communicating effectively with staff, law enforcement, and members of the public. Maintaining professionalism in challenging or stressful interactions. Managing time and priorities in a high-paced, secure environment. Ability to: Apply knowledge of detention and court procedures accurately and consistently. Exercise tact, courtesy, and discretion in dealing with confidential information. Respond calmly and appropriately to difficult or hostile individuals. Work independently and collaboratively as part of a team. Organize and maintain records and property in compliance with established procedures. EDUCATION & EXPERIENCE

The required knowledge, skills, and abilities are typically acquired through a combination of education and experience equivalent to:

High school diploma or equivalent; and One (1) year of office-related work experience, preferably in a law enforcement, detention, or legal environment. SUPPLEMENTAL INFORMATION As a condition of hire, the final candidates will be required to successfully pass a

- Full-time employees accrue 7.40 hours per month and are eligible to use sick leave once it is accrued. The accrual is pro-rated for part-time employees. Vacation Leave

- Full-time employees accrue 9.20 hours per month and are eligible to use leave once it is accrued. The accrual is pro-rated for part-time employees. Holidays

- The County observes eleven legal holidays in even numbered years and ten legal holidays in odd numbered years.

Paid Parental Leave (PPL)-

In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Gallatin County provides 240 hours of PPL to eligible full-time employees. The hours are pro-rated for part-time employees.
