Responsibilities
•Assist in the daily activities/functions of the program registration, enrollment, and benefits status process in order to respond to member calls, emails or in-person inquiries
•Research Program Change Requests by members
•Provide members with explanation of program distribution process, co-payment deadlines and reimbursement guidelines
•Maintain member files on KIDS
•Assist CCF Units with special events
•Review, prepare and troubleshoot Program Change Requests, also known as Add/Drop/Transfers (ADTs) received from the members
•Collect and review member’s applications (in office and in field) to resolve any issues with application submissions, document collection and acceptance and program selections
•Troubleshoot mistakes hindering the delay of entering member information into KIDS database
•Facilitate and register members offsite during the registration period at determined location
•Enter and/or edit member information into the MS XRM Benefits Management System called KIDS.
•Confirm eligibility of the members against the KIDS and V3 databases
•Verify the required documentation is received
•Edit applications and member’s information for accuracy
•Schedule off-site registration locations with Union organizers and administrators within participating institutions.
•Determine the allocation of work and schedules to seasonal staff at off-site locations
•Provide in-office coverage in the registration room throughout the day as assigned
•Represent the Fund at various employer and Child Care Fund events, i.e. program orientations, advisory committee meetings, delegate or chapter meetings, and other events as assigned
•Provide member outreach by tabling at the institutions, preparing flyers and attending delegate meetings
•Participate in temp staff orientation and prepare weekly phone logs
•Perform additional duties and projects as assigned by management
Qualifications
•High School Diploma OR GED required; Associate degree preferred
•Minimum of two (2) years’ experience in clerical support role in a general office environment required
•Proficient skill level in Microsoft Word and Excel required
•Bilingual speaking (Spanish, Creole, French, Russian, Cantonese) preferred.
•Excellent written and verbal communication skills
•Ability to effectively present information in individual and group settings to providers, members, and employees
•Available to work flexible hours including some evenings and weekends as required
