Job Summary The Branch Operations Specialist oversees office activities, production, and facility management for one or more branch operations and locations. Responsibilities Handle quotes and orders for outside salespeople and customers; ensure on-time quote and order acknowledgement response time. Periodically meet with and manage vendors/suppliers; perform product sourcing duties as needed. Occasional local customer visits and ride-alongs with outside sales team (as required by branch needs). Collaborate with the branch belt shop leader/manager to optimize shop production; assist with scheduling installations; optimize shop fabrication and workflows. Oversee shop supply orders and approvals; review inventory levels; initiate inventory re-orders when appropriate. Understand all shop processes (shipping, receiving, fabrication, etc.) and operate shop equipment; manage maintenance scheduling and programs. Manage inside salespeople (AM) within the branch; ensure on-time quotes and order acknowledgements. Supervise shop employees (Belt Shop Manager, Belt Shop Technicians, Shipping/Receiving); manage and approve work and PTO schedules; verify hourly employee times cards. Oversee repairs/upgrades to branch facilities and physical structure; maintain facility IT equipment, computer and phone systems; coordinate outside contractors as needed. Serve as the branch single point of contact for intercompany communication; communicate branch activities to supervisor. Respond to customer requests with urgency; build and maintain customer and vendor relationships; act as key contact from quote to invoicing. Process quotes, orders, returns, and purchasing via phone, fax, email, and ERP; coordinate with outside sales as needed. Estimate delivery dates based on production and delivery schedules; review open order reports daily to meet customer expectations. Issue and follow up on purchase orders to vendors; ensure transaction completion; collaborate with outside sales, operations, and accounting teams. Provide new and current customer data to Accounts Receivable; occasional travel for business development, continuous improvement, installs, customer sites, trade shows, and product training. Other duties as assigned. Requirements Experience in industrial distribution; strong mechanical background. Strong organizational and prioritization skills; attention to detail. Highly responsive to and respectful of customer needs; ability to cold call in person and by phone. Experience with ERP systems; ability to lift up to 50 pounds; overtime and weekend work may be required; overnight travel. Valid driver’s license and clean driving record; ability to pass drug screen and background check; high school diploma or equivalent. Physical Demands The Branch Operations Specialist may lift and/or move up to 50 pounds and will require manual dexterity and strength to operate equipment and handle tools. Prolonged periods of standing, walking, bending, kneeling, or sitting may occur. Work Environment Exposure to moving machinery and equipment; noise levels can be loud. Position Type and Expected Hours of Work Full-time position in a shop and at customer sites. Typical hours are Monday through Friday, 8:00 am – 5:00 pm, with frequent overtime and weekend work as required.
