Provide prompt, courteous and efficient handling of all guest room reservations, changes, cancellations and information requests, while assisting with all incoming calls to the hotel. Accept all telephone inquiries and convert them into confirmed reservations. Accurately track regrets and denials. Maintain reservation?related data entry such as group rooming lists. Adhere to departmental and property standards and procedures. Answer calls within three rings, using correct salutations and telephone etiquette. Process reservation requests, changes, and cancellations received by phone, email, internally and through corporate reservations centers or travel agencies. Use open?ended questions to ascertain callers needs. Describe room accommodations, amenities, and hotel packages. Collect all designated information to book a reservation. Accommodate special requests and record them in the system. Access guest history to provide personalized service and maintain accurate records. Maximize room rates and promote hotel packages to callers on designated dates. Accept and convert telephone inquiries for L Restaurant, Pool side cabana rentals and other ancillary services. Verify availability, suggest alternate dates for sold?out periods, and explain guarantee and cancellation policies. Relay accurate transportation information from airport to hotel and document such requests. Coordinate status of assignments and follow?up actions with the on?coming agent. Perform additional duties as assigned.
Skills & Knowledge Requirements
Proficient use of Microsoft Word, Outlook and Excel. Previous experience using Opera reservation system. Strong data entry and computer access skills. Experience in a luxury hotel reservations department preferred. Strong mathematical aptitude. Attention to detail and a sense of urgency. Clear, concise, and open communication. High energy, rapport?building ability with guests and colleagues. Organizational ability and natural skill for multi?tasking, prioritizing and anticipating needs. Flexible work schedule and availability for varied shifts in a 24/7 hotel environment. Fluency in English, both verbal and written.
Physical & Additional Requirements
Remain in a stationary position for 7 to 8 hours during the work shift. Maintain a neat, well?groomed appearance; specific standards provided by the hotel.
Qualifications
Education: College degree preferred. Experience: One to two years as a Reservations Agent, preferably in a luxury hotel setting. Licenses or Certificates: None. Compensation
