Job Title Coordinator of Academic Affairs / Assistant to the VPAA
Position Purpose
The Coordinator of Academic Affairs / Assistant to the Vice President for Academic Affairs (VPAA) provides essential support in both academic operations and executive administration. This hybrid role ensures the smooth functioning of the academic affairs office through coordination of academic processes, effective communication with internal and external stakeholders, and high-level administrative support to the VPAA. The individual in this role must demonstrate exceptional organizational skills, professionalism, discretion, and the ability to manage multiple responsibilities efficiently.
Essential Duties Summary Serve as the primary administrative support to the Vice President for Academic Affairs, managing the VPAA's calendar, meetings, travel arrangements, and correspondence. Draft, proofread, and format official communications, reports, and presentations on behalf of the VPAA. Coordinate logistics for academic leadership meetings, prepare agendas, take minutes, and track follow-up actions. Act as a liaison between the VPAA and internal departments, faculty, external partners, and governing bodies. Manage confidential documents, personnel files, course evaluations, and sensitive information with a high degree of discretion. Process reimbursements, purchase orders, and budget tracking related to the Office of Academic Affairs. Coordinate regular meetings, large projects, and events for Academic Affairs in collaboration with other key staff in the department Manage academic resources as they relate to the office of Academic Affairs: course schedules, syllabi, textbook information, faculty workload, etc. Other duties as assigned Required Qualifications
Education
Bachelor's degree required Experience
3+ years of administrative experience, preferably in a higher education environment. Skills:
Exceptional organizational, time management, and multitasking abilities. High level of professionalism and discretion. Strong written and verbal communication skills. Proficient in Microsoft Office Suite, calendaring tools (e.g., Outlook), and academic systems (e.g., Banner, PeopleSoft, or similar). Ability to work independently and collaboratively in a fast-paced setting. Preferred Qualifications
Experience managing academic projects or institutional committees Familiarity with accreditation reporting Prior experience supporting senior leadership or executive-level administrators
