Job Summary The Graveyard Desk/Market Clerk is responsible for providing a clean, well-informed first impression of Whitefish Mountain Resort and the Village Market to lodging guests and property owners. Duties include reserving properties for walk-in guests, registering guests upon arrival, providing communication and instructions to enhance guest comfort, and performing extra evening stocking and cleaning during quieter times. The Lodging Check-In is located along the Kintla boardwalk in the Upper Village.
Job Relationships Reports to: Front Desk and Village Market Manager, Assistant Manager, and Supervisors Employees Supervised: None
Job Specifications High school diploma or GED equivalent Experience in lodging, property management, or resort-specific desk duties and guest service preferred Strong customer service background required, minimum of 3 years preferred Local area knowledge preferred Must be available to work weekends, evenings, and holidays; overtime may be required during peak demand periods; limited flexibility in schedule changes on short notice is required Office clerical experience preferred, including MS Office, copy/scan, RTP, and Streamline Previous cash-handling and retail experience preferred, including counting a bank Ability to work with a diverse group of people and handle multiple tasks and challenging situations in a calm, professional manner Self-starter able to work independently with little supervision, especially in maintaining a clean, organized lobby and fully stocked market Excellent written and verbal English communication skills Ability to multi-task in a fast-paced environment while adjusting priorities to address customer concerns with the highest level of service Ability to cross-sell other resort departments and effectively communicate offerings to guests Proficient in operating computers, software, and phones to assist guests Must be at least 21 years of age to transport guests; valid driver's license required and ability to be added to WSI's vehicle insurance policy Commitment to personal safety and participation in the company safety program Ability to work within company and departmental policies and procedures as outlined in the employee manual
Specific Duties Register and check out guests for all WMRL properties, completing related paperwork and interactions Use Streamline Software to manage reservations, compile daily reports, prepare registration paperwork, answer inquiries, record notes, and enter maintenance work orders Accurately count a bank and close tills Clean public areas of the Lodging Check-In, Market, and offices regularly Prepare for group and wedding arrivals, including displaying marketing information in the lobby Post and balance all extra room charges Provide administrative support to managers, including recordkeeping and data entry Communicate professionally using the internet, MS Outlook, Teams, and SharePoint Provide thorough information to guests about the resort and surrounding areas Sell, clean, receive, stock, and merchandise Village Market products, ensuring accurate transactions Emphasize customer service and safety in all operations; participate in ongoing training to maintain standards Gain property-specific knowledge for all WMRL-managed locations Maintain a professional appearance and courteous demeanor in all guest and employee interactions Perform additional tasks as assigned to support departmental efficiency Use telephones and occasionally base radio systems for communication Coordinate with Security personnel to resolve guest conflicts or concerns Print and post daily reports and marketing materials to communicate cleaning priorities, security needs, and other important information
Work Environment Moderate physical activity including bending, stooping, lifting, climbing stairs, shoveling, and stretching Frequently handle objects up to 20 lbs., occasionally up to 50 lbs. Stand or walk for up to 8 hours per day Sit or stand at a computer workstation for up to 4-6 hours per day Safely operate company vehicles as required Use approved cleaning agents daily; may require handling potentially hazardous chemicals with proper training and PPE provided Non-smoking environment
Safety & Wellness All team members must remain alert to unsafe conditions or work behaviors, conducting periodic inspections of work and public areas and reporting hazards for prompt correction.
