Position Overview
You will provide high-level administrative and legal support to attorneys and staff at the firm, assisting with case management, document preparation, scheduling, client communications, and general office operations.
Key Responsibilities
- Support attorneys by drafting, formatting, proofreading and managing legal documents (pleadings, motions, discovery responses, correspondence)
- Manage attorney calendars, schedule hearings, depositions, meetings (in-person and virtual), court appearances and conferences
- Handle court filings (state/federal), e-filing, document service and tracking deadlines & appearances
- Maintain and organize physical and electronic case files, evidence, exhibits, and discovery materials
- Serve as a point of contact for clients, opposing counsel, court staff and vendors; prepare client correspondence, intake and communication
- Assist with billing/time-entry support, vendor invoices, expense reports, travel arrangements, and other administrative tasks
- Operate office systems: Microsoft Office suite, document management software, calendaring systems, scanning, PDF preparation
- Uphold confidentiality, professionalism and align with the firm's standards for client service and legal ethics
Qualifications
- Prior administrative or legal assistant experience in a law‑firm or litigation environment (ideally 2‑5+ years or more for more senior level)
- Familiarity with civil litigation procedure, court rules, deadlines and e‑filing practice
- Strong organizational skills, detail‑oriented, ability to manage multiple priorities and deadlines
- Excellent written and verbal communication; professional client‑facing interaction
- Proficiency with Microsoft Word/Outlook/Excel, PDF software; experience with legal case management or docketing systems is a plus
- Ability to work collaboratively within a team, handle confidential materials, and adapt to fast‑paced legal workflow
Additional Desirable Skills
- Experience with high‑volume case work and litigation support
- Comfort with technological tools (e‑filing systems, document management)
- Prior experience in the firm's practice area (e.g., family law, commercial litigation) may be beneficial
- Ability to take initiative, anticipate attorney needs, and contribute to a smoothly‑running office
