The Executive Assistant is a key contributor to the success of Kestra Financial's Operating Group executive team, providing high-level administrative and operational support to executives and their teams. This individual ensures seamless day-to-day operations through expert calendar management, travel coordination, event planning, and communication support. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, professional environment.
Core Responsibilities
Executive Support: Serve as a strategic partner to assigned executives, helping prioritize and manage key initiatives. Proactively manage dynamic calendars, coordinate meetings, prepare agendas, and ensure timely follow-up. Serve as a primary liaison between executives, internal teams, and external partners. Maintain distribution lists, manage correspondence, and provide administrative support to executive team members.
Travel, Logistics & Event Planning: Coordinate complex travel arrangements including air, hotel, and ground transportation. Plan and execute internal events, leadership offsites, and external engagements with seamless logistics and communication. Prepare detailed itineraries and manage all related logistics including catering planning and onsite support.
Reporting & Documentation: Create materials for executive-level meetings and conferences. Process and reconcile expenses. Draft, edit, and manage business documents such as agendas, itineraries, expense reports, and presentations.
Operational Support: Support onboarding of new team members, host office guests, and provide general administrative assistance to ensure smooth office operations. Create and implement new procedures where required.
EA Team Collaboration: Provide backup and support to fellow EA team members, including reception coverage 2-3 times per month and assistance with company-wide meetings. Contribute to additional administrative tasks and projects as needed.
Employee Engagement Support: Documents, tracks and manages the employee engagement plan for the Operations Group (OG) division. Works with culture champions inside OG and across the firm to align to company values and initiatives.
Required Skills & Qualifications
Strong ability to maintain confidentiality and exercise sound judgment
Experienced and highly proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
Excellent written and verbal communication skills
Professional demeanor with strong interpersonal and phone etiquette
Exceptional organizational skills and attention to detail, project management experience preferred
Ability to manage multiple priorities in a fast-paced environment
Demonstrated initiative, reliability, and adaptability
Previous experience as an Executive Assistant supporting senior leadership
Education & Experience
High school diploma required
Associate, or bachelor's, degree preferred
Minimum of 2 years supporting executive leaders or high-growth teams in a dynamic, fast-paced environment
Internal Applicant Policy
Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
