SUMMARY
To ensure the smooth and efficient operation of the school office so that the maximum positive impact of children's education is met.
ESSENTIAL FUNCTIONS
- Performs the usual office routines and practices associated with a busy school office.
- Maintains student records as required.
- Receives and routes all incoming calls.
- Maintains an employee absence folder and the necessary records for substitute teachers.
- Types and maintains all correspondence as requested (Phone tree, all programs, monthly calendars, diplomas, etc.).
- Assists teachers in preparing instructional materials as appropriate.
- Maintains a log of visitors to the school.
- Orders buses for field trips and extracurricular activities.
- Obtains, gathers, and organizes pertinent data as needed and puts it into usable form.
- Maintains a regular file system, as well as confidential files, and processes incoming correspondence as instructed.
- Inventories, types purchase orders, and distributes supplies in a timely manner.
- Performs any bookkeeping tasks associated with the position.
- Collects, counts, and works with District Office to make deposits for money collected on a daily basis.
- Maintains records and prepares such reports as necessary for student attendance, bus transportation, special education classes, enrollment, etc.
- Registers new students and sends out records of students transferred to another school.
- Performs minor first aid in the absence of the school nurse.
- Performs other duties assigned by an Administrative member.
QUALIFICATIONS
- High School diploma.
- Familiar with Microsoft Office computer applications (Word, Excel, Outlook) preferred.
- Competency in secretarial skills required in a school office.
- Prior experience in a school setting preferred.
- Bi-lingual English/Spanish preferred.
