We are seeking a highly organized and reliable Administrative Assistant to perform diverse support functions for our department. The successful candidate will be a key contributor to the team's efficiency, managing day-to-day administrative tasks, maintaining office operations, and assisting with critical departmental projects, including budget development. This is a non-supervisory role performed primarily in a climate‑controlled office setting.

Responsibilities

  • Ordering and maintaining inventory of office supplies for all assigned locations.
  • Maintaining a comprehensive physical and/or digital filing system.
  • Answering and directing incoming phone calls and providing information to callers.
  • Transcribing detailed meeting notes, generating various reports, and drafting and proofreading official documents to ensure accuracy and professionalism.
  • Scheduling and coordinating appointments and meetings and arranging professional travel logistics for departmental staff.
  • Handling and prioritizing multiple ongoing administrative projects simultaneously.
  • Assisting with the compilation and development of the annual budget.
  • Maintaining a close and effective working relationship with coworkers, customers, vendors, and management.

Qualifications

  • High School Diploma or General Education Degree (GED) is required.
  • Three (3) years of related administrative/secretarial experience, OR an equivalent combination of education and experience.
  • Advanced communication skills (verbal and written) for effective interaction with all levels of staff, external contacts, and management.
  • Proven ability to handle multiple projects and manage time effectively.
  • Must maintain a valid driver’s license.
  • Demonstrated proficiency in standard office software and equipment.
