SALARY RANGE: The anticipated salary range for this role is $2 0.00 to $2 5.00 per hour. This range reflects a good faith estimate based on the targeted level for the role and typical compensation benchmarks across U.S. locations. Actual compensation may vary depending on the selected candidate’s qualifications, experience, geographical location, and internal alignment.

SUMMARY

As an Administrative Assistant, you will provide administrative support to ensure the smooth operation of our office. This role is ideal for someone who is detail-oriented, has strong organizational skills, and is eager to learn and grow in a professional office environment.

RESPONSIBILITIES

  • Administrative Support: Provide general administrative support such as answering phone calls, responding to emails, managing calendars, and scheduling appointments. Assist with preparing documents, reports, and presentations as needed.
  • Front Desk Duties: Greet visitors, clients, and employees in a professional and friendly manner. Direct inquiries to the appropriate person or department. Manage incoming and outgoing mail, packages, and deliveries.
  • Data Entry and Record Keeping: Accurately enter data into spreadsheets, databases, and other electronic systems. Maintain and update records, files, and documents in a systematic and organized manner.
  • Filing and Document Management: Organize and maintain physical and electronic files. Ensure documents are properly labeled, filed, and easily accessible. Retrieve and distribute files as requested.
  • Office Supplies and Inventory Management: Monitor and maintain inventory of office supplies, equipment, and stationery. Place orders for supplies as needed and ensure availability of necessary items.
  • Meeting and Event Support: Assist in preparing meeting rooms, including arranging furniture, setting up audiovisual equipment, and providing refreshments. Take meeting minutes and distribute them to attendees as required.
  • Communication and Correspondence: Draft, proofread, and edit routine correspondence, memos, and reports. Maintain professional and timely communication with internal staff, external contacts, and clients.
  • Office Organization and Maintenance: Maintain a clean and organized office environment. Ensure common areas, such as the reception area and conference rooms, are tidy and presentable. Coordinate maintenance and repairs as needed.
  • Administrative Tasks: Provide support on special projects, assignments, or tasks assigned by supervisors or managers. Adapt to changing priorities and handle multiple tasks simultaneously.

REQUIRED QUALIFICATIONS

  • Proficient computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic understanding of office equipment such as printers, copiers, and scanners.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Professional demeanor and strong interpersonal skills.
  • Ability to work independently as well as in a team environment.
  • Demonstrated reliability, punctuality, and a strong work ethic.

PREFERRED QUALIFICATIONS

  • Prior experience in an office environment is preferred but not required. This is an entry-level position suitable for candidates with limited professional experience.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

The work environment may involve a standard office setting while also incorporating elements of a production area. Employees will use standard office equipment, including computers, and must demonstrate stamina to sit or stand while maintaining attention to detail despite potential interruptions. The role may require occasional activities such as walking, climbing, stooping, crouching, and bending. Vision is necessary for reading printed materials and a computer screen, while hearing and speech are essential for effective communication both in person and over the telephone. Additionally, the position may necessitate travel by air or automobile. Employees may be required to use personal protective equipment, including safety glasses, safety shoes, and shop coats, to ensure safety in the production environment. Employees may be able to lift up to 30 pounds as needed.
