Overview

This position supports multiple university units, including Career Services, Graduate Enrollment, Facilities Management, International Relations, and the Social Science PhD Program. The incumbent provides financial transaction support during vacancies or peak demand and offers administrative support with a dotted line reporting relationship to the Social Science PhD Chair.

Education and Experience

  • Bachelor’s degree or equivalent combination of education and 2–3 years administrative experience.
  • Previous experience in higher education preferred.
  • Experience with financial or account clerking and reconciliation of accounts preferred.

Skills and Knowledge

  • Excellent customer‑service skills and the ability to respond promptly, knowledgeably, and respectfully.
  • Strong attention to detail, problem‑solving, and organizational skills.
  • Proficient with the Microsoft Office suite.
  • Strong interpersonal and communication abilities.
  • Adaptability and ability to work with varied stakeholders.

Responsibilities

Academic Unit Support

  • Manage records, certifications, and progress for Social Science PhD students.
  • Consult with the Social Science PhD Chair on student policies and decisions.
  • Advise students and the Chair on registration and graduate requirements, including awards and funding applications.
  • Coordinate with the Registrar’s Office, Graduate School, and Records Management to navigate systems and policies.

Administrative Support

  • Oversee graduate student bay usage and system access (doors, printers, copiers).
  • Arrange logistics for departmental events and student gatherings.
  • Schedule committee meetings for student milestones in collaboration with the Social Science PhD Chair.

Financial Transactions

  • Maintain financial records, budget documents, and expenditure reports.
  • Process expense transactions, reconciliation, and electronic backup.
  • Prepare monthly reconciliations and follow‑up on variances.
  • Collaborate with Payroll, Budget & Administration, and Human Resources on account and payroll inquiries.

Payroll Support

  • Monitor payroll activity, hire students, and process term appointments.
  • Assist with audits and deactivations of vacant PINs with Human Resources.

Front Office Support

  • Provide surge support to the Dean’s Office during high‑volume periods and staff call‑out days.
