In accordance with the Agreement between Detroit Association of Educational Office Employees (DAEOE) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.

Position Summary: The Exceptional Student Education (ESE) Clerical Series Level IV builds and cultivates relationships with a wide variety of internal and where appropriate external stakeholders. The Clerical Series Level IV is the liaison for operational services between central office, leadership, and staff within their location. The Clerical Series Level IV is responsible for supporting significant cross-functional initiatives within the work setting. The Clerical Series Level IV assists and supports the Office of Exceptional Student Education in ensuring compliance with local, state, and federal requirements and supports the assigned special education director and supervisor.

Minimum Qualifications: High School Diploma or GED certificate Operational knowledge of ESE programming and systems operations, including PeopleSoft, PowerSchool SIS, PowerSchool Special Programs, and MISTAR. Proficient in word processing, spreadsheet applications and other business-related applications/software including Office 365 (Microsoft Word, Excel, PowerPoint, & Outlook). Experience with Microsoft Excel functionality, via spreadsheets, graphing, tables, and calculations, v-lookup, data validation to process ESE data relevant to the Office of Exceptional Student Education. Experience maintaining a high level of confidentiality, responding to public inquiries and internal requests with a high degree of diplomacy and professionalism. Ability to work effectively and efficiently, proven organizational skills, and ability to perform multi-tasks, prioritizing work in a fast-paced environment to meet tight deadlines. Outstanding record of attendance across previous work settings. Proven skills in the consistent provision of exceptional customer service. Proficiency in SharePoint, Microsoft Teams, Adobe, and survey design tools, such as Qualtrics/Microsoft Forms. Knowledge and experience with advanced office procedures, including accurately completing payroll, filing systems, record-keeping systems, business correspondence, and reporting formats. Advanced knowledge and experience of ESE programs, case management, placement, and timeliness regulations. Excellent verbal, written, and interpersonal communication skills, as well as editing, proofreading skills, and attention to detail. Preferred Qualifications:

Demonstrated ability to manage and prioritize multiple office processes in a high-volume environment while ensuring compliance with departmental procedures. Experience supporting operational practices specific to the Early Intervention Diagnostic Center (EIDC), including communication and attendance protocols, student and staff attendance tracking, and documentation accuracy. Familiarity with requisition and supply processes, including submitting, tracking, and maintaining documentation through established district procedures. Proficiency in managing shared folders, Microsoft Teams, and communication systems to ensure timely responses and transparent collaboration across staff. Ability to support meeting coordination, calendar management, and dissemination of departmental updates. Proven experience maintaining organized electronic and paper filing systems that align with local, state, and federal compliance expectations. Strong attention to detail with an ability to ensure accurate data entry in PowerSchool, Excel, and other district systems. Demonstrated professionalism and responsiveness in communication with families, staff, and leadership, reflecting the core values of the Early Intervention Diagnostic Center and the Detroit Public Schools Community District. Essential Functions:

Responsible for coordinating office services, preparing a variety of written reports, correspondence, and related documents, data collection, assisting with budget preparation, maintaining records, staff training, and special projects. Assists with requesting and collecting related data from District personnel and accurately compiling data in a timely manner Receives and distributes miscellaneous reports and requests related to District operations, including, but not limited to, budget expenditures, outside reports, records requests, SSI confirmations, and statistical performance data. Maintains inventory of department supplies, submitting timely requests for replenishing supplies as needed. Accurately prepares payroll for approval and enters requisitions as directed in a timely manner. Participate in departmental meetings to capture notes and detailed information discussed. Researches and compiles relevant data for departmental needs as requested by supervisor or designee. Assists with coordination of activities with other department staff engaged in activities to meet educational objectives. Keeps informed of the District's policies and procedures, answers related internal and external questions within position purview, and provides materials/documents pertaining to educational activities. Maintains a high level of confidentiality and professionalism within all work-related environments. Provides clerical support to assigned special education staff. Assists senior director and supervisors in preparing for meetings, trainings, and presentations. Creates and maintains databases, spreadsheets, as directed by supervisor or designee. Provides accurate and detailed information to parents, building & central office staff, and other relevant stakeholders. Answers incoming department phone calls and emails in a professional and timely manner. Maintains a professional and collaborative relationship with senior director and supervisors, colleagues, building & central office staff, parents, and other relevant stakeholders. Serves as first point of contact for incoming calls when supervisor is out of the building. Compiles, maintains, and files reports, records, and other documents, as required by supervisor or designee. Participates and contributes to departmental events and responsibilities. Performs other duties as assigned by supervisor or designee.
