Position
The role of the Banquet Captain is to aid the Sales & Events Team by the onsite supervision and execution of events.
The Banquet Captain role serves as the event planner and event lead in onsite event execution. Under the supervision of the Sales & Events Manager, contracts are passed to the coordinator to facilitate communication between brides and group leaders in planning a successful event. The coordinator manages all admin communications, documentation, reporting, and meeting facilitation involved in the event planning process. On the event day, the coordinator provides onsite services, supports the Banquets Department, and oversees service operations including product receiving, inventory collection, event staff oversight, and event day services such as setup, breakdown, and post event recap collection.
The Banquet Captain works directly with the Sales Team, ensuring every event detail is reviewed and prepared. Post event recaps are conducted with the Event Services Coordinator and Leadership Management to address learning opportunities and improvements.
Responsibilities
Collect all necessary information to build out, communicate, and execute successful events. This includes vendors, layouts, F&B, parking, transportation, and any other applicable details.
Initial communication starting at 60-45 days prior to the event date.
Attend walkthroughs with clients and their planners.
Generate tentative BEO by 30 days prior to the event and final BEO by 14 days prior.
Ensure execution of all event details per BEOs, including vendor arrivals, layouts, F&B services, parking, and transportation.
Work with the sales manager to schedule the events team for setup, day-of execution, and breakdown.
Facilitate BEO meetings under the direction of the department manager, ensuring clean communication between the GM, facilities, housekeeping, front desk, and other teams.
Manage vendor relationships and documentation: collect vendor lists, complete vendor guideline forms, and maintain all event plans on applicable platforms (BEOs, Tripleseat).
Coordinate product receiving with the executive chef, ensuring timely collection and set-up by the coordinator and event staff. Organize product and banquet equipment in applicable venue areas.
Collaborate with the event services coordinator and department manager for proper staffing, ensuring staff arrive on time, are appropriately dressed, and follow labor protocols.
Execute event services: setup and breakdown, table and chair rental, dinnerware, AV needs, cashdrawer management for bar services, receipt processing, tip disbursement, and large event services such as post-ceremony transitions and cocktail hour services.
Conduct post-event recaps, noting key insights and communicating findings to the event services coordinator and department manager.
Required Qualifications
Dependable, punctual, with an impeccable attendance record.
Accurate, detail-oriented, and service-oriented.
Strong organizational skills.
Positive attitude with strong interpersonal and diplomatic skills.
Excellent math aptitude and cash handling ability.
Professional demeanor.
Proficient computer skills (Word, Excel, PowerPoint).
Must be able to work on feet for extended periods.
Must be able to work a flexible schedule, including evenings, weekends, and holidays.
Proof of eligibility to work in the United States.
Preferred Qualifications
Associate’s degree in Hospitality Management or related field preferred.
