Job Title Assistant Property Manager
Job Description Summary The Assistant Property Manager is responsible for assisting in all areas defined as a part of the Assistant Property Manager job description, as well as performing property administrator job duties if there is no property administrator role on the team. The Assistant Property Manager will ensure a high level of professionalism and foster positive relationships with tenants and clients.
Job Description
Manage the building staff in the absence of the Property Manager or General Manager, handling all managerial functions as directed by the manager.
Handle all building correspondence to and from clients, tenants, and vendors as directed by the Property Manager or General Manager.
Ensure all property files, including leases and contracts, are prepared and maintained in an orderly and logical manner.
Obtain aging reports on behalf of the Property Manager or General Manager and follow up on all delinquencies, utilizing C&W or client-directed policies.
Process invoices in accounting with appropriate backup and according to established procedures.
Prepare lease abstracts for all tenants and monthly rent roll for management review.
Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick‑up.
Coordinate tenant requests for above‑standard work, obtain estimates, provide proposals, release work, and invoice tenants.
Oversee maintenance of work‑order and purchase‑order systems.
Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversaries, holiday gifts, park events, quarterly newsletters, and training programs.
Update and maintain office procedures in the Property Operation’s Procedure Manual.
Ensure Certificates of Insurance for tenants and vendors are up to date.
Oversee processing of management and maintenance staff hours, expense reports, and check requests for review and approval.
Ensure that above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges are processed promptly.
Participate in annual budget preparation, CAM reconciliations, and monthly financial reporting; prepare bank deposits if processed at the on‑site management office.
Lead regular inspections of properties with janitorial and landscape providers and any other service provider as directed by management.
Oversee all service contractors and evaluate their performance.
Participate in tenant improvement work with management oversight.

Ability to assign tasks and manage others’ workloads
Work Environment This job operates in a professional office environment, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The role requires regular travel between properties in varying weather conditions.
Physical Demands The employee may need to travel from floor to floor, climb stairs, and travel outside between buildings in varying outdoor weather conditions. The employee may also be required to remain seated or standing for 85% of the time.
