Reporting to the VP Head of Therapeutic Modalities and SRC Lab Operations, the Executive Coordinator will be responsible for providing administrative support to senior staff level personnel in Research. This person supports Sr. Staff members by scheduling Governance meetings and other meetings upon request.
They will also work alongside the Sr. Executive Coordinators to the Head of Research, Translational Sciences, and the CSO. The Executive Coordinators will provide back-up support for each-other as needed and will communicate and work effectively with one another to achieve Research and Early Development goals.
The Executive Coordinator’s assignments will be varied and complex in nature, often requiring considerable judgment, creativity and discretion in resolving issues. This individual must be a self-starter and have the ability to manage multiple priorities in a continually changing environment with minimal guidance.

Key Responsibilities
Calendar management – Scheduling meetings/rooms for meetings with multiple stakeholders across functions. Resolving calendar conflicts.
Working closely with the Sr. Executive Coordinator and Research Sr. Staff to coordinate logistics for Research Senior staff meetings including agenda preparation and distribution, communicating with presenters to confirm/remind them of their presentations, and managing calendar invitations.
Scheduling governance meetings with large audiences.
Coordinating the logistics for Scientific Seminars for visiting scientists and Key Opinion Leaders – assistance with booking travel/hotel, creating agenda, scheduling various roundtable meetings, securing conference rooms, ordering lunch.
Coordinating domestic and international travel for Research Senior Staff.
Ordering lunches for meetings frequently including larger catering events.
Coordinating, compiling, and editing various material upon request.
Coordinating and/or supporting logistics for department annual team building events.
Preparing expense reports for Research Sr. Staff members.
Resolving IT issues and ordering equipment upon request.
Maintaining distribution groups for Research and RED.
Working with Sr. Executive Coordinator to Head of Research and Early Development to provide backup and support for internal and external activities.
Compiling: New hire, promotions, and other departmental announcements.
Assisting with onboarding help for new hires; off-boarding. Including space assignments and move requests.
Assisting with miscellaneous administrative requests from team-members.
Being onsite daily to help with all administrative questions that come up and vary from help with printing, Concur questions or daily catering requests.
Professional Capabilities
A proven ability to perform at an Executive Coordinator/Senior Executive Coordinator level.
Quick learner and self-starter capabilities -- able to work proactively and independently on tasks. Willing to think outside the box to ensure that the work is performed accurately and to the satisfaction of the team.
Strong calendaring skills and catering/meeting planner capabilities.
Strong communication skills on all levels with internal leaders, employees, and outside vendors.
Responsiveness to deadlines, strong attention to detail, and able to prioritize multiple tasks.
A high level of professionalism with strong influencing skills and ability to anticipate situations or issues that may arise in the near future.
Independent judgment and discretion with sensitive/confidential and proprietary information.
A can-do attitude, ability to be flexible and adapt to changing priorities.
Ability to receive and act on ad-hoc requests.
Ability to think creatively and strategically.
A team-oriented work style.
An openness to periodically responding to requests outside of normal business hours.

Requirements
A minimum of 3-5 years of executive level experience with VP, S/EVP, or C-level support and office administration.
Strong PC computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Microsoft Project, Concur expense reporting.
Bachelor’s degree preferred.
Local candidates are preferred.
Daily onsite office presence required.
