TITLE:
Administrative Assistant for Middle School
REPORTS TO:
Middle School Building Principals
JOB GOALS:
To positively welcome all visitors to the office or those who call the School District and serve the clerical and financial needs of the Middle School's main office and other district areas as needed.
QUALIFICATIONS:
High School Diploma or equivalent required; college or higher education preferred Strong interpersonal and communication skills with special emphasis on speaking, writing and proof/editing capabilities Excellent clerical and computer technology skills, including proficiency in Google Suite, specifically Google Sheets, Docs, and Slides, and email Pleasant and inviting personality Ability to keep information confidential Ability to multi-task and work in an environment with many interruptions and manage stress effectively Ability to work cooperatively and collaboratively with others PERFORMANCE RESPONSIBILITIES:
Acts as a receptionist to visitors, parents, and students in the school and greets them in a positive, pleasant manner. Provides visitors with necessary information. Communicates positively with faculty and other staff members in the building. Responds to doorbell and facilitates the signing in and out process for all visitors and deliveries. Answers incoming calls and provides information or takes messages for administrators, counselors and other school personnel when appropriate. Honors the confidentiality of the principal's office, counseling office, district personnel and students. Handles all correspondence and documents required for the counseling office, attendance items and official school business. Handles all entering of, paperwork, communications, and reminders related to excused and unexcused absences, tardies, and dismissals. Runs attendance reports and sends out reminder emails related to students who do not turn in excuses. Processes and records student early dismissals and late arrivals as per district procedures. Maintains Educational Trip requests and lists, e-mails teachers of each, contacts parents when approved. Records daily attendance and maintains an accurate data bank of student attendance. Runs weekly attendance reports. Distributes a daily Attendance Bulletin to all faculty via e-mail, twice daily (AM/PM). Follows handbook procedures for notifying parents of students with cumulative absences. This includes preparing and mailing magistrate papers related to student absences. Truancy procedures are to be handled in conjunction with the Associate/Assistant Principal. Maintains an organized system of collecting and filing all excuses at the end of each year. Assists the principals in the completion of the annual budget by creating the departmental/team binders, reviewing the building submissions for accuracy/balance, securing quotes when requested, creating requisition at the request of the principal/s, and reviewing the building spreadsheet. Maintains the Middle School's budget book. Processes all Purchase Orders for the Middle School. Codes, processes, and submits all Expense Reports and Procurement Card Accounts. Codes all paperwork related to conferences and travel. Maintains Activity Fund for the Middle School and completes monthly reports for Middle School and High School Activity Funds. Processes all annual payments for electronic devices by recording and photocopying the checks and submitting payments to Business Office. Collects money for calculators, laptop accessories, etc. and processes the deposit. Assists with annual fundraiser by copying/recording checks and processing the deposit.

Makes announcements, as needed, via the intercom system. Upon the request of parents, contacts faculty to obtain homework assignments for students who are absent and assures faculty members fulfill the request. Maintains student cumulative record folders including updating student information when scores for testing programs come into the counseling office and when report card labels need affixed to student files. Assists Counseling and Administrative Office with evening programs regarding student schedules, orientations, etc. Maintains all attendance records for seven years. Shred all papers annually that exceed the seven year requirement. Facilitates the requests to use facilities within the Middle School building. Communicates necessary information to affected parties. Uses and updates the Raptor System and scan visitors' IDs. Adds new teachers to the Navigate Prepared system. Orders general supplies and maintains the supply room. Orders food and beverages for meetings, as directed by Principal/s. Performs other duties as requested by the building Principals.
TERMS OF EMPLOYMENT:
12 month position
Salary, work schedule and other conditions of employment are to be in accordance with the South Fayette School District salary schedule and applicable policies.
EVALUATION:
Performance of this job will be evaluated by the Building Principal and communicated to the Superintendent for review.
