Summary

Reporting directly to the Chief Development Officer (CDO), the Gifts Administrator is responsible for maintaining accurate, efficient, and integrated donor data systems to support fundraising and engagement efforts. This role ensures the integrity and functionality of The Warren Center's CRM system, online giving platforms, and automation tools.

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform the following satisfactorily.

Database Management and Integrity:

Manage all aspects of the donor database (The Warren Center utilizes Bloomerang) including data entry, record maintenance, duplicate resolution, and reporting Ensure accuracy and completeness of donor information, gift records, and communication preferences. Regularly audit data for consistency, accuracy, and compliance with privacy and acknowledgment standards Establish and maintain system protocols for data entry, reporting, and user permissions. Gift Processing and Acknowledgement:

Process all contributions from multiple sources (Qgiv, checks, recurring gifts, events, and third-party portals) in a timely and accurate manner Generate acknowledgment letters, tribute notifications, and tax receipts in coordination with the Donor Relations Manager Maintain soft credits, matching gifts, and pledge schedules to ensure complete donor recognition Collaborate with accounting to reconcile donations weekly and assist with monthly and annual financial audits Reporting and Analytics:

Manage all aspects of the donor database (The Warren Center utilizes Bloomerang) including data entry, record maintenance, duplicate resolution, and reporting Ensure accuracy and completeness of donor information, gift records, and communication preferences. Regularly audit data for consistency, accuracy, and compliance with privacy and acknowledgment standards Establish and maintain system protocols for data entry, reporting, and user permissions. Gift Processing and Acknowledgement:

Produce regular reports on giving trends, donor retention, and campaign performance for the CDO and Development team Create mailing lists, event reports, and segmentation lists for appeals, stewardship, and communications Support grant reporting and board development reports by providing accurate giving data and historical trends Collaboration and Support:

Provide database support to Development and Marketing team members, including training on data entry, queries, and reporting best practices. Collaborate with the Donor Relations Manager and Events staff to ensure all donor touchpoints are captured in Bloomerang. Assist with data-driven strategies to improve donor retention, event participation, and campaign effectiveness. Education and Experience

Required: Bachelor's Degree in data management, business, nonprofit administration, or related field Preferred: Minimum of three (3) years of experience in database management, preferably in a nonprofit setting. Preferred: Proficiency in Bloomerang, Qgiv, and Zapier. Preferred: Experience with gift processing, reporting, and data automation workflows Knowledge of fundraising best practices and donor stewardship cycles Additional Technical Skills, Traits and Knowledge
