We are looking for a highly organized and proactive individual to support our property management team. The Assistant Property Manager will assist in all aspects of the Senior Assistant Property Manager’s responsibilities and perform property administrator duties when needed.
This position requires strong communication skills, meticulous attention to detail, and a commitment to professionalism and tenant satisfaction.
Job Title Assistant Property Manager
Responsibilities
Provide full administrative support, including phone support, typing, reports, filing, and distribution of correspondence.
Assist in lease administration activities, abstract leases, and keep the database current.
Ensure all property files are prepared and maintained in an orderly manner, including leases and contracts.
Prepare and coordinate bid proposals and service contracts.
Obtain aging reports for management and follow up on all delinquencies according to company or client policies.
Process invoices in accounting with appropriate back‑up and in accordance with established procedures.
Coordinate tenant move‑ins and move‑outs, including furniture delivery and pick‑up.
Oversee maintenance of work order and purchase order systems.
Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversary gifts, holiday gifts, park events, quarterly newsletters, and training programs.
Update and maintain office procedures in the Property Operations Procedure Manual under director’s guidance.
Ensure certificates of insurance for tenants and vendors are up to date.
Process staff hours, expense reports, and check requests for review and approval.
Process tenant bill‑backs for utilities, after‑hours HVAC, and similar charges in a timely manner.
Assist supervisory staff with annual budget preparation, monthly financial reports, and bank deposits when needed.
Lead regular inspections of properties with janitorial and landscape providers and other service contractors as directed.
Participate in performance oversight of all service contractors who perform contract services.

High school diploma or GED required; Bachelor’s degree preferred.
At least 1 year of real‑estate property management or related experience.
Proficiency in Microsoft Office Suite.
Demonstrated initiative and sense of urgency in meeting deadlines.
Work Environment This position operates in a professional office setting and requires regular travel to properties in varying weather conditions.
Standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines will be used.
Physical Demands Employees must stand and walk for extended periods, ascend stairs, ladders, and step stools, and often travel between buildings outdoors.
The position requires sitting or standing for about 85% of the time and operating office machinery.
