Department Information The College of Computing, established in 1990, is a world‑class leader in research and education. Its graduate CS program is currently ranked 6th and the undergraduate program 5th nationally. The College consists of five Schools and offers over 16 degree programs, including a renowned online MS in CS.

Job Summary Act as the primary administrative support for a school Chair, providing office‑related services including correspondence, report preparation, file maintenance, meeting arrangements, and related functions. May be responsible for setting employee goals, assessing performance, and providing feedback and pay recommendations. This position interacts consistently with the Chair, Associate Chairs, Dean, faculty members, staff, students, and visitors. The role also advises and counsels as needed.

Responsibilities

Manage calendar, coordinate meetings, make travel arrangements, and plan events.

Coordinate recurring administrative processes supporting the Chair, including re‑appointments, promotions, and tenure.

Perform other related duties as assigned.

Prepare correspondence and reports; assist in collecting statistical data, conducting analyses, and producing presentations.

Maintain office filing system.

Provide administrative support to Associate Chair(s) as directed.

Assist in coordination of faculty search administrative tasks.

Process travel‑related reimbursements.

Assist with logistics of conference planning, seminars, special school events, and development activities.

Process HR paperwork for research faculty new hires, department affiliates, and immigration paperwork.

Oversee PCard transactions: order supplies, process registrations, and fulfill approved requests.

Plan and coordinate departmental events, including travel arrangements, venue reservations, catering, and equipment needs.

Support faculty recruitment by initiating the interview process and serving as primary contact for candidates.

Manage faculty annual review process to ensure compliance with institute requirements.

Interpret and communicate administrative policies; develop and refine internal procedures.

Utilize the PROMOTE system to manage academic promotion, tenure, and research faculty promotion processes.

Coordinate unit purchasing activities, including documentation, ordering supplies, and vendor relationships.

Review and approve correspondence, OneUSG, and Workday transactions on behalf of the Chair.

Certify monthly time reporting for faculty and staff.

Provide administrative support to the Associate Chairs as needed.

Maintain departmental listservs, phone directories, and file systems.

Assist with onboarding and offboarding of faculty and staff.

Respond to emails and manage the Chair’s inbox and calendar.

Provide general administrative assistance as needed.

Required Qualifications Educational Requirements Technical Diploma, Associate’s Degree, or equivalent combination of education and experience.

Other Required Qualifications Overnight travel required for project delivery; flexibility in on‑site daily service delivery hours (due to client shift schedules, project requirements).

Required Experience Four to six years of job‑related experience.

Preferred Qualifications Preferred Educational Qualifications Bachelor’s Degree.

Knowledge, Skills, & Abilities This job requires working knowledge of administrative processes and practices employed in a higher education academic office. Skills in event planning, organization, communications, and customer service are required, as is the use of office and specialized computer applications.

Pay Information

Hourly Range: $23.02 – $31.03

FLSA Status: Non‑Exempt
