We are looking for a highly organized and detail-oriented professional to support administrative operations, accounting workflows, and business data analysis.

Position Summary

The Administrative & Accounting Specialist supports daily business operations, manages payables and receivables, assists with project documentation and scheduling, and provides basic reporting and analysis to help leadership make data-driven decisions. The ideal candidate thrives in a fast-paced environment, is comfortable wearing multiple hats, and is proactive about improving internal processes.

Key Responsibilities Administrative Operations

Act as the first point of contact for office communication (email, phone, walk-ins)

Maintain digital and physical filing systems

Assist with contracts, agreements, job folders, customer files, and warranty paperwork

Help with coordinating scheduling: job calendars, site visits, inspections, deliveries

Support HR onboarding documentation and personnel file maintenance

Order and track office & field supplies

Assist field crews and project managers with document requests and updates

Accounts Payable (AP)

Process vendor bills, subcontractor invoices, and statements

Verify purchase orders, job costing, and appropriate approvals

Reconcile vendor accounts monthly

Track subcontractor compliance (W-9s, insurance certificates, DIR if applicable)

Coordinate payments according to terms and cash-flow planning

Accounts Receivable (AR)

Create and send customer invoices & progress billing

Track outstanding receivables and perform customer follow-up

Maintain lien release documentation and payment applications

Support collections activities when necessary

Business Analyst Functions

Monitor job profitability, cost tracking, and margin reports

Prepare weekly / monthly dashboards for leadership

Support financial forecasting and budget analysis

Identify operational inefficiencies and propose improvements

Assist in CRM, QuickBooks, and workflow optimization

Pull and interpret data from internal systems to support decision-making

Qualifications

1–5 years of administrative, accounting, or analyst experience

Experience in construction, roofing, or solar (preferred)

Strong command of QuickBooks Online, Google Workspace / Microsoft Office (Excel / Sheets proficiency required)

Familiarity with job costing, AP / AR workflows, and financial reporting

Exceptional organizational skills and attention to detail

Strong communication skills—written and verbal

Ability to manage multiple priorities and deadlines

Problem-solver with a process-improvement mindset

Work Environment & Schedule

In-office position (Cameron Park)

Full-time (40 hours / week)
