Position Summary The Property Manager Assistant provides essential administrative, accounting, and operational support to the property management team. This position plays a key role in maintaining efficient office operations, tenant relations, and accurate financial reporting across the company’s managed property portfolio.

Key Responsibilities

Assist Property Managers in daily operations and tenant relations.

Serve as a point of contact for tenant inquiries, maintenance issues, and general communications.

Contact tenants and vendors as needed and log maintenance tickets into property management software.

Contact vendors as requested by Property Managers and assist in coordinating property maintenance and repairs.

Assist with property inspections, reports, and updates.

Communicate directly with property owners as needed.

Provide back‑up phone support for the Marketing Coordinator.

Receive and distribute all incoming mail.

Set up and coordinate weekly team meetings.

Help manage office supplies and maintain an organized work environment.

Assist agents with projects and administrative tasks as needed.

Send and receive DocuSign documents for leasing, management, and operational purposes.

Manage and process invoices for most managed properties.

Pay bills for most managed properties and maintain accurate payment records.

Handle daily filing of paid invoices and maintain up‑to‑date ledgers.

Download and organize LG&E and Louisville Water Company utility bills.

Prepare and update monthly spreadsheets for each property.

Assist with bank reconciliations and monitor property account balances.

Calculate owner draws and process payments in coordination with management.

Calculate and process management fees based on monthly income and expense reports.

Send tenant invoices as needed and assist with rent collection tracking.

Send monthly reports to property owners at the beginning of each month.

Qualifications

Associate’s or bachelor’s degree in business, accounting, preferred or related experience in property management field without the preferred education will also be considered.

1–3 years of experience in property management, real estate accounting, or administrative support preferred.

Proficiency in Microsoft Excel, Word, Outlook, and property management/accounting software, including QuickBooks and Yardi Breeze.

Strong organizational skills, accuracy, and attention to detail.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and work independently in a fast‑paced environment.
