Position Summary : This role will work with various groups within our finance and sales team to carry out invoicing, project orders and other various sales support duties. In this role a coordinator will interact with vendors and clients and partner with the sales team on projects within the material handling space.
Principle Duties and Responsibilities :
Answer all incoming telephone calls and direct to appropriate department or person.
Open and distribute incoming mail. Apply accounting stamp to vendor invoices and distribute to appropriate manager for approval.
Type correspondence, quotations, equipment proposals, etc. as required by managers or salesmen.
Input customer information, equipment data, etc. into computer system.
Invoice equipment and rentals as required.
Organize and maintain all files and records.
Match vendor invoices with purchase orders and receivers and forward to appropriate manager for approval.
Maintain literature files.
Order and maintain sufficient levels of office supplies.
Prepare and send all sales backup material to accounting department on a timely basis.
Assist in coordination of rental, demo and loaner equipment freight arrangements.
Ideal candidate will possess :
Ability to perform secretarial and clerical duties with speed and accuracy
Experience working with project orders, invoices, and supporting sales staff
Experience with internal sales systems
Minimum requirements :
High school diploma or equivalent
Proficiency in the Microsoft Suite
1+ year experience carrying out coordination for a sales, project management, or any professional setting
