We're looking for an Executive Assistant to support the efficient functioning of members of our Executive Leadership team. This position requires exceptional organizational, communication, and time management skills to ensure our leaders can focus on strategic priorities. The Executive Assistant will handle a wide range of administrative tasks and responsibilities to enhance the productivity and effectiveness of the C‑Suite.
What's Expected
Calendar Management
Coordinate and manage complex calendars for executives, including scheduling meetings and appointments.
Prioritize and resolve scheduling conflicts to optimize their time.
Travel Arrangements
Arrange and coordinate travel logistics, including flights, accommodations, transportation, and itineraries.
Prepare travel expense reports and ensure compliance with company policies.
Communication
Act as a primary point of contact for internal and external stakeholders, screen and handle calls, emails, and inquiries.
Draft and proofread correspondence, reports, and presentations on behalf of the executives.
Meeting Preparation
Prepare meeting agendas, materials, and presentations for C‑Suite meetings.
Confidentiality
Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
Project Coordination
Assist in special projects and initiatives by coordinating tasks, tracking progress, and ensuring deadlines are met.
Document & Information Management
Organize, maintain, and archive important documents, files, and records.
Stay informed about industry trends, company updates, and relevant news to provide timely updates to the executives.
Requirements
Bachelor's degree preferred.
Proven experience as an executive assistant or in a similar role.
Exceptional organizational and multitasking skills.
Strong written and verbal communication skills.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Discretion and ability to handle confidential information.
Strong problem‑solving skills and attention to detail.
Ability to work independently and proactively.
Flexibility and adaptability to changing priorities and demands.
