Position Mission:
The Campus Health Assistant / Registrar Clerk serves a critical dual function by ensuring the health, safety, and well-being of all students while also maintaining accurate student records and providing administrative support for enrollment and registration processes. This role requires strong organizational skills, attention to detail, compassion, and the ability to maintain confidentiality in both health and student data matters. This is a full-time, non-exempt position reporting to the Campus Principal and/or the designated Campus Health Assistant and Registrar.
Position Minimum Qualifications: Education: High School Diploma or GED required. Additional vocational training or college coursework in a related field (e.g., medical assistant, office administration) preferred. Experience: Minimum of 2 years of experience in a school, healthcare, or office administrative environment. Experience in a Texas public school setting is highly desirable. Certifications: Current certification in First Aid and CPR/AED is required. Special Knowledge/Skills:
Proficiency in common office software (Microsoft Office Suite, Google Workspace). Demonstrated ability to learn and effectively use Student Information Systems (SIS). ?Excellent organizational and time management skills with a strong attention to detail. Ability to handle sensitive, confidential information (HIPAA/FERPA) with integrity and discretion. Strong interpersonal and communication skills to effectively interact with students, parents, staff, and medical personnel. Physical Demands: Must be able to occasionally lift up to 25 pounds, stand for extended periods, and respond quickly to emergency situations.
Essential Duties and Responsibilities
A. Campus Health Assistant Duties
This component of the role is primarily focused on supporting the health services program under the direction of the Campus Nurse or school administration, and adhering to Texas Education Agency (TEA) and Texas Department of State Health Services (DSHS) guidelines. First Aid and Basic Care : Provide immediate basic first aid and care for minor injuries and illnesses to students and staff. Document all student visits to the health office clearly and accurately. Medication Administration : Assist with the administration of prescribed and over-the-counter medications to students according to school policy and physician's orders, strictly adhering to Texas laws and school protocols for dispensing and record-keeping. Health Records Management:
Maintain confidential and organized student health records, including immunization records, vision/hearing screenings, and medication logs, ensuring compliance with HIPAA and FERPA (Family Educational Rights and Privacy Act). Communicable Disease Control:
Follow established protocols for the control of communicable diseases and report confirmed cases to the appropriate school and county health officials. Assist with health screenings as directed. Emergency Response:
Assist in emergency medical situations, contacting parents/guardians, emergency services (911), and the Campus Nurse or administrator as required. Health Office Operations:
Ensure the health office is clean, adequately stocked with supplies, and equipment is in good working order. B. Registrar Clerk Duties
This component of the role is responsible for the accurate and efficient management of student enrollment, registration, and academic records, adhering to TEA and school district policies.
Student Enrollment and Registration:
Assist with the entire registration and enrollment process for new and returning students (PK-12), including collecting, reviewing, and processing required documentation (e.g., birth certificates, proof of residency, immunization records). Also, have accurate knowledge of grade level availability to accurately and correctly offer seats to applying families. Student Attendance and Tardy:
Support in the accurate reporting of daily attendance and report campus-level Average Daily Attendance (ADA) to campus and district stakeholders. Student Information System (SIS):
Accurately enter and maintain all student demographic, enrollment, and attendance data in the school's designated Student Information System (SIS) (e.g., Ascender, Schoolmint). Withdrawals and Transfers:
Process student withdrawals and transfers, ensuring all necessary paperwork is completed, and records are prepared for release in a timely manner. Data Reporting Support:
Assist the Registrar and/or administrative staff with data collection and verification for required state and federal reports (e.g., PEIMS in Texas) as needed. Administrative Support:
Provide general clerical support to the front office, including answering phones, greeting visitors, and handling mail and correspondence as directed.
Performance Evaluation
Performance will be evaluated annually based on the fulfillment of the duties outlined in this job description and school-wide performance expectations.
