Administrative Assistant – Holy Cross Institute

St. Edward's University of Austin, Texas invites applications for the position of Administrative Assistant. The Administrative Assistant reports to the Executive Director and plays a key role in supporting the Institute's goals and initiatives. The position is 11‑month (July not included). During peak times, the AA will be expected to work additional hours. This mission‑centered role requires a skilled professional who enthusiastically embraces the Catholic and Holy Cross identity of the Institute.

Essential Duties and Responsibilities

  • Program & initiative support: Provide administrative and operational support to the Executive Director for ongoing HCI programs, research projects, and the development of new educational initiatives. The AA plays a role in two key programs: the Holy Cross Charism Initiative and the Holy Cross Ambassadors Program.
  • Event coordination: Support major Institute events, including the annual Convocation. Handle catering and logistics for events outside of Convocation.
  • Grants and grant reporting: Assist the Executive Director with drafting and preparing grant proposals and oversee the administration of the Leap of Faith Grant.
  • Communications & outreach: Foster and maintain positive relationships with faculty and staff at St. Edward's University and partner institutions in the Holy Cross network.
  • Board of Governors: Keep minutes of board meetings and update the Belles Board platform as needed.
  • Organization & time management: Manage multiple tasks simultaneously and meet deadlines effectively.
  • Office management: Maintain office supply inventory, appearance, and functioning of common areas and equipment in the Holy Cross Institute.
  • Additional duties as specified.

Minimum Qualifications

  • Bachelor's degree required, preferably in a Liberal Arts and Sciences discipline.
  • High level of professionalism required.
  • Minimum of 2 years of experience in a professional office setting; experience may be concurrent with degree completion. Experience in higher education preferred.
  • Good written and verbal communication skills; familiarity with spreadsheets and other online tools preferred.
  • Proficiency in Google applications and database software programs required.
  • Ability to use AI judiciously required.
  • Understanding and appreciation of higher education required; familiarity with private Catholic higher education preferred; fluency in Holy Cross history and mission highly preferred.
  • Ability to work in a collaborative, respectful office environment required.
  • Successful completion of an employment and/or criminal background check required.
