Position Summary: Perform clerical work functions associated with processing and maintaining information, documentation and records related to the County Highway Department.

Essential Employee: The incumbent in this position has been designated as an Essential Employee. (Refer to Section 3.1 Employment Categories)

Examples of Duties

  • Welcomes and provides assistance to visitors as they enter the department.
  • Communicates via telephone and/or two-way radio; provides information and assistance; takes and relays messages or directs calls to appropriate personnel; returns calls as necessary.
  • Communicates with department head, supervisor, employees, co-workers, other departments, officials, auditors, the public, and other individuals, as needed, to coordinate work activities, review status of work, exchange information, or resolve problems.
  • Assist with the department's communication efforts. This may include but not be limited to written email, website and/or social medial content.
  • Prepares or completes various forms, reports, correspondence, spreadsheets, or other documents manually or via computer.
  • Receives various forms, reports, correspondence, invoices, receipts, work tickets, scale tickets, repair orders, time cards, maps, manuals, or other documentation; reviews, completes, processes, forwards or retains as appropriate.
  • Operates a computer to enter, retrieve, review or modify data in computer database; verifies accuracy of entered data; makes corrections as appropriate; uses knowledge of various software programs to operate a computer in an effective and efficient manner.
  • Prepares departmental files; maintains file system of departmental records.
  • Assists the Office Manager with the following duties:
  • Maintaining ledgers of County Highway Funds; local option user tax; and county bridge fund; maintains ledger of appropriations balances; maintains records of receipts and expenditures.
  • Processing various documents associated with department payroll; tabulates time worked and calculates gross payroll; maintains records of days worked and available vacation/sick days.
  • Maintaining inventory of department equipment, materials and supplies; monitors inventory levels; initiates orders for new or replacement supplies; reviews invoices for accuracy and appropriateness of charges; monitors equipment repair costs; maintains records.
  • Providing assistance with the preparation of department budget and estimating costs; prepares related reports.
  • Processing a variety of documentation associated with departmental operations, per established procedures and within designated timeframes; distributes documentation or retains records as appropriate.
  • Generating manual and/or computerized reports; balances reports; submits reports to appropriate individuals or agencies; forwards, files or retains reports as appropriate.
  • Provides assistance to other employees or departments as needed.
  • Performs other related duties as assigned
Typical Qualifications
  • High school diploma or GED; supplemented by one (1) to two (2) years previous experience and/or training involving bookkeeping, customer service, and general office work; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must have experience using computers with the Microsoft Windows operating platform and have a basic understanding of Microsoft Word, Excel and Outlook.

  • All work completed is in compliance with state statutes and local ordinances.
  • Follows all County and State regulations regarding the management of accounts.
  • Ensures all monies are properly accounted for at the end of the day.
  • Meets all deadlines established by state statute, local ordinances and Elected Official or Department Head.
  • Meets customer service standards established by Elected Official or Department Head.
  • Ensures all correspondence and forms follow County guidelines, are accurate, and free from errors.

Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time sitting and performing computer work at a desk or work station.
