About the Opportunity:

This is an exceptional opportunity for a Director of Operations to manage the finances, operations, facilities, and tech departments of a reputable full service real estate brokerage company based in New York City. The ideal candidate has a strong background in financial operations. While an Accounting degree is not necessary, having experience working within the accounting department of a real estate brokerage company is a plus.

About the Company:

Our client is a full service brokerage firm representing buyers, sellers, renters, landlords, and new development projects. Role and Responsibilities: The ideal candidate will oversee all: Finance:

Day-to-day financial operations, including budgeting, forecasting, cash flow management, AR/AP, and OP (owner payment) collections. Prepare weekly reporting packages including bank account updates, cash in/cash out summaries. Partner with leadership to prepare and analyze financial reports, ensuring accuracy and compliance with regulatory requirements. Prepare and present monthly reporting, including full P&L reviews for the company and revenue-generating departments including variance analysis and tracking. Work with leadership and external accountants to manage annual filings, including quarterly tax preparation. Prepare financial reports that are accurate and align with IRS, state, and NYC tax rules. Develop and maintain financial policies, procedures, and internal controls, and communicate updates clearly to the team. Consistently engage in vendor negotiations and seek competitive opportunities to reduce expenses. Assist with exclusive contract updates, commission structures, and compensation terms as applicable. Operations & Facilities Manage all office facilities, leases, equipment, and vendor relationships to ensure efficient, safe and functioning operations. Oversee procurement, contracts, and service/vendor negotiations to optimize cost savings and quality. Supervise the administrative team, ensuring consistency across offices and strong internal support for agents and staff. Put clear rules and processes in place to make sure the office runs smoothly. Compliance with all NYC real estate laws (fair housing, license renewals, etc). Compliance with workplace safety (e.g., insurance certificates, emergency procedures). Identify opportunities to streamline workflows, improve collaboration between departments, and reduce administrative bottlenecks. Ensure company compliance with NYC licensing, fair housing regulations, and insurance requirements (E&O, liability, workers' comp). Assist with legal complaints on an as needed basis. Oversee risk management practices including vendor COIs, office safety protocols, and insurance renewals. Technology & Innovation Oversee all IT infrastructure, hardware, and software systems to ensure functional operation, data security, and scalability. Manage brokerage systems including CRM, transaction management, and listing syndication tools (e.g., StreetEasy, MLS, Zillow, etc.) to ensure accuracy and compliance. Partner with leadership to evaluate, implement, and manage technology solutions that improve efficiency and support growth (e.g., lead routing, reporting dashboards, digital onboarding, Ai usage). Stay ahead of emerging technology trends and present recommendations to senior leadership for adoption when appropriate. Lead innovation initiatives that improve operational performance, enhance the client/agent experience, and strengthen the company's competitive positioning. Ensure compliance with data security standards and NY's SHIELD Act, maintaining best practices in privacy and cyber protection. Provide troubleshooting support for technical issues and coordinate with vendors/IT providers on escalations. Business Strategy & Development

Partner with New Development and Marketing to build and maintain a repeatable pitch process (standardized decks, data templates, and checklists). Maintain standardized compensation structures and contract terms that can be quickly tailored for new deals. Lead quarterly strategy reviews with leadership and the New Development team to set target projects, review competitive positioning, and capture lessons learned. Leadership & Strategy Deliver a monthly leadership report with company performance, agent productivity, and growth metrics. Define and track department KPIs, meeting quarterly with department heads to review progress and adjust. Partner with the executive team for specific department meetings. Lead cross-department projects (e.g., office build-outs, system migrations, compliance updates) with clear timelines and deliverables. Audit and refine workflows across finance, operations, and new development to ensure efficiency and strong agent support. Hold regular check-ins with operations, finance, and admin staff to track development goals and adjust team structure as the company scales. Ideal Candidate
