Parish Administrator Position Description
Position summary: The Parish Administrator at Grace Church is a key position to our ministry at Grace: you will often be the first point of contact for someone encountering Grace Church.
A successful Parish Administrator
will have excellent organizational skills and people skills, with the ability to prioritize and troubleshoot as needed.
The Parish Administrator is a 25-30 hour a week position, with vacation, pension, and partial employer contribution to your health care. The Parish Administrator reports directly to the Rector. Office Responsibilities Serve as the first point of contact for visitors, parishioners, and the public, including greeting those with appointments at the church, and people looking for our renters: Family Services of Westchester, Rivertowns Preschool, and Hastings Lighten Up AA meetings. Answer phone, email, and in person inquiries from parishioners and the public about church programs, services, and facilities. Greet and make welcome those seeking food assistance and pastoral care. Communication Responsibilities Create and edit service bulletins for Sunday services, special service bulletins for funerals, weddings and other special services, collaborating with Rector and Organist. Create and edit weekly email newsletter sent to parishioners and friends, writing announcements about upcoming events in collaboration with ministry leaders, summaries of past events, formatting photos, and other graphics. Administrator of our Google Suites. Update website and social media (currently Facebook, would like to add Instagram). Canva experience is a plus. Volunteer Scheduling Responsibilities Assist in scheduling and recruiting volunteers for services and events: readers, intercessor, chalice bearers, coffee hour hosts, counters, and ushers at worship. Send reminders to church members for Vestry* meetings, Sunday worship roles, and mission sign up roles. ( The Vestry is the governing body of the church, made up of rotating church volunteers. ) Assist volunteer leaders in the implementation of parish events. Operational Responsibilities Serve as the first point of contact for renters, scheduling property maintenance as needed. Assist clergy in keeping weekly attendance records. Maintain contact list for Parishioners and Newcomers/Visitors. Order and pick up supplies for Grace Church. Financial Responsibilities Record and timely deposit church donations, prepare pledge statements, and maintain donor records. Obtain proper approvals and submit check requests for payments to vendors, maintaining vendor records and ensure W-9 forms are sent. Submitting payroll bi-weekly. Enter expenses into Quickbooks for all cash movements, including payroll, utilities, interest etc. Facilitate month-end and year-end closing, assist in preparing annual budget. Maintain spreadsheet of pledges received for use by stewardship committee and Bookkeeper. Interact with parishioners and members of the public to assist with financial issues, in a courteous and professional manner. Support the audit process. Seasonal Responsibilities Assist Rector in planning annual Vestry retreat. Assist Rector and stewardship committee with annual pledge drive, including creating and mailing letters. Skills: Excellent Organization Skills, with attention to detail Exceptional Communication Skills, good with people Ability to prioritize and do most important work first Willingness to troubleshoot and problem solve as situations arise Ability to hold professional confidences as you will be dealing with sensitive data Technical skills or willingness to learn: Microsoft Word and Excel, Quickbooks, MailChimp, Squarespace, CheddarUp, Fidelity, Google Suites (docs, sheets, forms), Canva, Apple software, various social media platforms. Salary and benefits: The salary range for this job is $22 to $30 an hour for 25 to 30 hours a week.
