Substitutes.
The
Clerical Substitute
will be primarily responsible for operating a telephone switchboard to answer, screen, and direct incoming calls, and provide basic information about the agency. The substitute will also serve as the receptionist, receiving, directing and assisting visitors to the Central Office or School Office.
DUTIES: Greets all visitors courteously, determines their needs, checks appointments, and directs them to proper person; Maintains an attractive and comfortable reception area that includes an ample supply of printed materials such as school district publications and those of general interest; Receives incoming telephone calls and transfers the call to the appropriate person or extension number; Provides callers with general information about the district, such as its hours of operation, address, scheduled activities, and other related information; Prioritizes multiple calls so that emergency calls and situations are responded to immediately; Accepts and conveys messages from callers to specified individuals Uses intercom system to contact individuals as needed; Distributes forms to visitors, and provides explanations as necessary; Operates a postage meter and other mailroom equipment, and arranges for special package pick-ups; Operates and maintains copier room and supplies; Sorts and distributes mail/pony information as received to appropriate departments; Prepares memos, letters, and other routine documents as requested; May maintain databases and other information as directed; Performs office/clerical duties as assigned by the HR office; Maintains confidentiality
in all matters related to this position. QUALIFICATIONS:
High school degree or G.E.D. certificate; Preferred six months experience performing clerical duties in an office environment; Ability to multi-task in a fast paced, professional environment; Working knowledge of Microsoft Office programs; Ability to learn and apply the techniques and practices used in the operation of a telephone communication system; Ability to learn the basic district operation, district employees and their telephone numbers and locations; Ability to maintain telephone directories; Ability to provide callers with basic information about the district and its operations; Ability to communicate clearly and courteously with the public, co-workers, and others; Ability to understand and follow directions; Ability to effectively handle a heavy volume of calls through a telephone communication system.
