Position Summary

The Fundraising Operations Coordinator plays a critical role in maintaining the accuracy and integrity of donor gift data that supports and strengthens Food Bank For NYC's fundraising and stewardship efforts.

This on-site gift processor position is responsible for a portion of our gift processing as well as sending out acknowledgment letters, donor record maintenance, pledge tracking, and managing recurring gift and acknowledgment workflows. They will collaborate across teams to support fundraising and donor relations and serve as a liaison with Finance.

Database & Gift Processing Serve as primary staff member responsible for opening and sorting daily mail, prepare mailing to our caging service for deposit with accurate fund/appeal/campaign coding instructions. Ensure accurate data entry into Raiser's Edge/NXT. Maintain donor record accuracy and perform regular data hygiene tasks. Work with Director of Fundraising Operations on Notes/Action cleanup project and other necessary hygiene projects. Uphold data governance and privacy standards to ensure donor data security and compliance. Set up meetings with various staff members to discuss new database changes and updates/upgrades; train when necessary. Work with Director of Fundraising Operations and Finance to compare revenue/gifts per month for reconciliation purposes. Track gifts and attendee/donor records for events; attend event if needed for data entry assistance/guidance. Oversee pledge tracking, reminder processes, and renewal mailings; ensure timely follow-up and reporting. Serve as a resource for staff on proper data entry, reporting queries, and list generation. Fundraising Operations & Direct Mail

Support execution of direct marketing and annual giving campaigns, including recurring gift tracking, credit card expiration outreach, and pledge fulfillment. Maintain calendar and assist with execution of regular donor communications not included in Direct Marketing Consultant-led appeals. Generate segmented mailing and email lists for special campaigns, assist with other list exports as needed. Support campaign logistics, donor segmentation, and event related data needs. Track and summarize campaign performance. Create and send timely, consistent donor acknowledgments that reflect Food Bank's mission. Prospect Research & Reporting

Assist the Manager, Prospect Intelligence on portfolio development, proposal tracking, and pipeline management. Conduct basic research and capacity screenings on current and prospective donors. Prepare briefings to support fundraising and stewardship, including bios for donor events and Look Books. Administrative & Operational Support

Submit and track departmental purchase requests and maintain accurate budget expenditure records. Oversee fulfillment for donor gifting and campaign-specific appeal items. Serve as backup for department email inboxes and donor services phone line. Support donor events and experiences such as Mission Engagement Tours, Friends and Family Repacks, Philanthropy Dinners, and other volunteer opportunities. Qualifications and Experience

Experience preferred in fundraising operations, donor database management, or related nonprofit administration. Strong proficiency in Raiser's Edge/NXT and Microsoft Excel; familiarity with Classy/GoFundMePro, Omatic Cloud major plus. Excellent verbal and written communication skills. Collaborative, detail-oriented, and adaptable in fast-paced environments. Experience working across diverse teams. Familiarity with donor-centered fundraising and campaign strategy. Collaborative, proactive, and solution oriented. Occasional evening and weekend availability required based on event needs. Ability to lift and carry up to 50 lbs. of supplies and materials.
