The Distribution Services Supervisor for Surplus Property is responsible for overseeing the processing, documentation, and disposal of university surplus equipment in compliance with state and institutional policies. This role ensures accurate recordkeeping, schedules equipment pickups, manages vendor coordination, and supports asset tracking and inventory efforts. Additional responsibilities include maintaining a safe warehouse environment and serving as a resource for surplus and asset management procedures.
Examples of Duties Surplus Property Processing: Review and document surplus equipment transactions for accuracy; maintain transfer logs, record tag numbers, and update tracking systems. Schedule FEM pickups and oversee collection, sorting, and disposal of University surplus equipment. Evaluate equipment condition and coordinate recycling or disposal with state-contracted vendors or CMS. Facilitate internal and external selection, delivery, and sale of surplus items.
System & Policy Compliance: Ensure adherence to surplus property and equipment policies set by the Illinois Department of Central Management Services and the University. Maintain transaction logs and provide audit documentation. Enter equipment data and updates into financial tracking systems (e.g., AIS).
Facilities & Equipment Oversight: Inspect and coordinate repairs for shop equipment. Maintain a clean and safe warehouse environment. Serve as a resource for equipment policies and procedures.
Asset Management & Inventory: Support development and updates of mobile and desktop asset-tracking tools. Assist with annual fixed asset inventory coordination and inventory file maintenance. Manage loaned equipment logs and annual renewals. Review equipment transfer documents for accurate coding and prepare for database entry.
Qualifications
High school diploma or equivalent. Any combination totaling three (3) years (36 months) from the categories below:
College coursework in operations management, business management, supply chain management or a closely related field as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
Experience in storing/receiving freight, handling or hauling freight, route scheduling, moving and delivery services, warehouse loading, and storage operations, and/or terminal dispatching in an institutional, industrial, and/or commercial setting.
One (1) year (12 months) of work experience equivalent to the Assistant Distribution Services Supervisor level which included the direct supervision of employees.
