The Executive Assistant provides administrative, operational, and strategic communications support to the President & CEO. This individual serves as a trusted partner and representative of the Office of the CEO — ensuring seamless coordination, effective communication, and strategic alignment across the organization.
This role combines the precision and professionalism of executive support with the creativity and clarity of communications expertise. The ideal candidate will possess exceptional organizational skills, strong writing ability, sound judgment, and the flexibility to thrive in a dynamic, fast-paced environment that often requires managing multiple priorities and working across time zones.
This position is based in Washington, DC, and is a partially remote position.
Primary Responsibilities
Executive Support
Provide comprehensive support to the President & CEO, ensuring exceptional organization, communication, and responsiveness.
Manage the CEO’s complex calendar, travel arrangements, and meeting logistics, ensuring alignment with organizational priorities.
Prepare, proofread, and edit high-level correspondence, presentations, reports, and briefing materials.
Conduct research and prepare background information and talking points on strategic topics.
Support planning and logistics for Board of Directors meetings, retreats, and other events; record and maintain minutes.
Handle confidential information and communications with discretion, professionalism, and tact.
Monitor follow-up actions and ensure timely completion of CEO priorities and commitments.
Communications & Outreach
Draft, edit, and coordinate written materials including internal announcements, newsletters, social media content, press releases, and CEO communications.
Support the implementation of the organization’s communications and branding strategies, ensuring consistency of tone, voice, and message.
Assist in the design and development of marketing collateral, presentations, and external communications that reflect the organization’s mission and values.
Collaborate with development and communications teams to support fundraising, outreach, and stakeholder engagement initiatives.
Oversee management of updates to the website and digital channels, maintaining accuracy and professionalism.
Help plan and execute communications around events, campaigns, and public engagements.
Strategic Coordination & Organizational Support
Ensure smooth information flow between the Office of the CEO and internal departments.
Support cross-departmental projects, special projects and initiatives as assigned by the CEO, ensuring clear communication and timely execution.
Represent the Office of the CEO with professionalism, discretion, and excellent judgment in all internal and external interactions.
Qualifications
Bachelor’s degree in Communications, Public Relations, Business Administration, International Relations, or a related field required.
Master’s degree preferred.
4-7 years of progressively responsible experience in executive support, communications, or a related role.
Experience supporting C-suite executives or senior leadership required.
Experience in a nonprofit or mission-driven organization strongly preferred.
Bilingual fluency in English and Spanish required, with strong oral and written proficiency in both languages.
Proven track record of managing multiple priorities and projects in fast-paced environments.
Exceptional verbal and written communication skills with meticulous attention to detail.
Strong interpersonal skills and a positive, team-oriented attitude.
Demonstrated ability to work independently and collaboratively, maintaining professionalism under pressure.
Excellent organizational, analytical, and problem-solving abilities.
Ability to handle sensitive and confidential information with diplomacy and discretion.
Strong critical thinking and adaptability in dynamic, evolving contexts.
Willingness and ability to work extended or irregular hours to accommodate international schedules as needed.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace required.
Familiarity with AI platforms and tools and willingness to adapt these to support their workflow efforts.
Familiarity with digital communications platforms (e.g., Mailchimp, Canva, CMS, or social media management tools) preferred.
Ability to quickly learn and master new technologies and applications.
Legally eligible to work in the U.S. without visa sponsorship now or in the future.
Ability and willingness to travel domestically and internationally as required.
Working Conditions, Equipment & Physical Demands
Equipment: Computer, Printer, Scanner, Telephone.
Physical Demands: Usage of equipment and light lifting to utilize and maintain equipment.
