About the Office of Commissioner Rodney Ellis
There are four precincts in Harris County. The four elected commissioners, along with an elected county judge, serve as members of Harris County Commissioners Court, the administrative head of the county’s government. Commissioner Rodney Ellis represents the constituents of Precinct One.
With approximately 1.17 million residents, Harris County Precinct One is a diverse, urban precinct that covers 363 square miles. Precinct One’s multi‑racial, multi‑ethnic population is roughly 33% African American, 38% Latino, 21% Anglo, 6% Asian and 2% other or multiple races. Precinct One stretches south to Brazoria County and reaches into eastern and northern sections of Harris County. The Precinct’s territory includes a large section of Downtown Houston, including the Downtown Harris County Courthouse Complex, Toyota Center, Minute Maid Park and the BBVA Compass Stadium. Other notable landmarks include the 263‑acre NRG Park Complex and the renowned Texas Medical Center. The Precinct is also the higher educational home to Houston Community College, Rice University, Texas Southern University, the University of Houston and the University of St. Thomas. Precinct One manages more than 21 parks, 10 community centers, numerous hike‑and‑bike trails, three maintenance service centers and several area offices, all of which provide an array of services to Precinct One residents.

What You Will Do At Precinct One
The Executive Assistant to the Chief of Staff plays a critical role in supporting the Chief of Staff by providing executive scheduling, meeting preparation, and high‑level stakeholder communications. This role will partner closely with the Executive Liaison to ensure the Chief of Staff remains informed, prepared, and equipped to advance strategic and organizational priorities. The ideal candidate is a process‑driven professional with the ability to develop and maintain systems that promote efficiency and collaboration across the leadership team.
Essential Duties and Responsibilities:
Executive Support and Calendar Management
Provide executive calendar management for the Chief of Staff, balancing internal and external commitments while ensuring alignment with key priorities.
Manage meeting logistics including preparation of agendas, materials and conference room reservation.
Partner with the Executive Liaison to collect and format briefing materials, ensuring accuracy and alignment with leadership standards.
Support various organizational projects, programs and initiatives as assigned.
Draft, review and edit correspondence and memos as needed.
Coordinate travel arrangements for the Chief of Staff.
Information and Records Management
Develop systems and tools to promote efficiency and knowledge sharing across the Chief of Staff’s office and division.
Maintain archives of key documents, correspondence and briefings for future reference and institutional continuity.
Identify tools and processes that promote effective coordination and information management within the Chief of Staff’s office.
Internal and External Stakeholder Communication
Serve as a key point of contact for the Chief of Staff’s office, ensuring information flows effectively between the Commissioner, Chief of Staff, Engagement Team and organizational divisions.
Partner with the Chief of Staff and Executive Liaison to ensure seamless information flow between the Commissioner, Chief of Staff, and internal divisions by maintaining and tracking the internal systems used to route information, engagement requests and approval needs to the leadership team.
Manage and track external stakeholder inquiries including correspondence between the Precinct, County Departments and County Officials in a professional and timely manner.
Administrative Systems and Financial Coordination
Develop and maintain a centralized calendar of events and engagements across the organization, providing visibility into key activities and milestones.
Partner with the Executive Liaison to track key assignments and approvals on Monday.com.
Track departmental expenditures to ensure alignment with budgetary guidelines.
Manage and reconcile expense reports, travel reimbursements and purchase orders.
Order and manage office supplies to ensure the Chief of Staff’s office remains well equipped and organized.
Other duties as assigned.

Requirements

Education
Bachelor’s degree in a relevant field from an accredited college or university.
Experience
Five (5) years of high‑level administrative experience in a fast‑paced office environment.
Knowledge, Skills, and Abilities
Outstanding organizational and time‑management skills with proven ability to organize, prioritize and successfully manage multiple shifting priorities, projects, and deadlines.
Ability to work effectively, efficiently and independently with minimal supervision.
Proven ability to handle confidential and sensitive information with tact and discretion.
Strong analytical and problem‑solving skills.
Proven self‑starter with a strong work ethic, self‑motivated, resourceful, conscientious, punctual and energetic.
Team player, flexible, adaptable, personable and able to work well with others; takes direction and fulfills responsibilities under stress or pressure with minimal direct supervision.
Strong computer skills including QuickBooks, PeopleSoft, Outlook, Microsoft Word, Excel and PowerPoint.
