POSITION SUMMARY The Development Coordinator supports the fundraising and stewardship efforts for Chicago Methodist Senior Services (CMSS), working with both institutional and individual donors. Key responsibilities include data entry, donor acknowledgements, reporting and data analysis, maintaining donor records, managing donor-related events and online platforms, and assisting in grant applications and stewardship reports. The role oversees the administration of CMSS’s customer relationship management (CRM) systems, primarily DonorPerfect, SafeSave, and Constant Contact, while ensuring data accuracy, integrity, and efficient reporting.
ESSENTIAL JOB FUNCTIONS CRM and Data Management In collaboration with the VP of Development and Marketing, responsible for maintaining the overall integrity, administration, and management of DonorPerfect, SafeSave, and Constant Contact.
Maintain expert knowledge of DonorPerfect, SafeSave, and Constant Contact record protocols and procedures.
In collaboration with the VP of Development and Marketing, responsible for gift processing, reporting, pledge reminder system, and managing all aspects of acknowledgment letters promptly.
Collaborate with the Accounting department in monthly reconciliation of gift data, open pledges, and provision of information for the annual audit.
Prepare weekly and monthly progress and activity reports in DonorPerfect and Constant Contact.
Review data management and integrity by regularly running reports and lists to analyze records to ensure consistent and accurate data (contact and gift information). Initiate, document, and track changes to enhance, simplify, and standardize database processes and reports.
Collect and maintain data related to constituent communication and fundraising in DonorPerfect, including metrics and outcomes, and support the development of periodic internal reports.
Ensure data consistency across departments by collaborating with colleagues to keep constituent information accurate and up to date using Volgistics, ClearCare, PointClickCare, and SchedulesPlus software applications, and CRM systems.
Work with the VP of Development and Marketing to manage the Foundation Directory subscription-based database that provides information about foundations, their funding priorities, and grant guidelines.
Fundraising and Stewardship Manage and staff fundraising and cultivation events, secure dates with venues, coordinate approval and signatures on contracts, and initiate payments. Perform list segmentation, manage mailing lists (both electronic and print), track gifts and pledges, coordinate attendee lists and communications, oversee volunteer staff, recognize sponsorships, and conduct post-event wrap-up.
Track pre‑and post‑award institutional funder guidelines, deadlines, requirements, and reporting through grant portals, the annual internal grants calendar, and DonorPerfect.
In consultation with the VP of Development and Marketing, draft prospect research profiles by updating existing donor records and prospect profiles.
Work with vendors and consultants, including event venues, system administrators, and other outside vendors.
Assist the VP of Development and Marketing to staff and support the Development and Marketing Committee of the CMSS Board of Directors.
Maintain the electronic filing system, including naming conventions, gift documentation in DonorPerfect, and in the Development folder to ensure good order and accessibility. Archive as necessary.
Performs similar and other duties as assigned.

Must be knowledgeable in current PC applications and use a computer proficiently
Knowledge of database management, proficiency in DonorPerfect and Constant Contact, highly desirable

Ability to work in a fast‑paced environment with superb attention to detail and deadlines
Strong customer service skills
Excellent written and verbal communication skills
EDUCATION, CERTIFICATES, LICENSES, REGISTRATIONS, and EXPERIENCE Bachelor’s degree required
Ideally, one to two years of related experience and / or training
Understanding the nonprofit sector, especially gift entry, PCI compliance rules and regulations, reporting, funding landscapes, and grant cycles.
