Job Summary Receives calls and greets customers at the dealership, determines the nature of their business, and directs customers to their destination. Answers basic inquiries, routes incoming calls, takes messages, and provides basic information to all callers. Performs various administrative duties as outlined below.

Primary Responsibilities Customer Service Tasks:

Operates a multi-line phone system answering incoming phone calls for Kayser Chevrolet, Inc.

Answers all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly.

Provides voice mail for callers if employee cannot be reached. Takes detailed messages when voice mail is not taken by caller and delivers message to appropriate party in a timely manner.

Greets customers in a professional, friendly, hospitable manner and determines the nature of their visit.

Directs customers to the correct department, notifies the appropriate employee that a customer is waiting and introduces the customer to a Salesperson.

Maintains a personal demeanor consistent with Kayser’s culture, contributing a positive, supportive work environment for all Kayser team members.

Administrative Tasks:

Completes and issues loaner car agreement for the service and sales departments

Tracks dealer plates for the sales department.

Reviews daily deposit for accuracy and completes all tasks related to the deposit for Kayser Chevrolet, Inc.

Receipts all monies received from vehicle sales down payments, including credit cards on a daily basis.

Balances and maintains the daily cash flow of sales from service and parts and any money coming in from vehicle sales.

Process dealer trades, wholesales, and other purchases to be stocked in, follows process set forth by the Controller and General Manager.

Helps review and process deal folders for electronic scanning, make trade-in vehicle jackets and process payoff checks when needed.

Process and audit paperwork on dealer trades, wholesales, and retail deals.

Coordinate lunch and dinner orders for the sales department as needed.

Scans and sorts previous day’s service repair orders (RO’s) and accounting copies.

Indexes service RO’s and other miscellaneous documents for Kayser Chevrolet, Inc.

Secondary Responsibilities:

Assists with clerical duties as requested such as copying, scanning, filing, etc.

Assists with maintaining the look and feel of the showroom including opening and closing procedures.

Assists the Controller and General Manager with other projects and duties as assigned.

Qualifications/Requirements

Must have exceptional customer service skills.

Must have excellent phone etiquette.

Must have excellent verbal and written communication skills.

Must be punctual, dependable and reliable.

Must have strong computer aptitude, specifically with Microsoft Word and Excel.

Must have the ability to multi-task in a fast-paced environment.

Must possess strong organizational skills.

Must have the ability to work independently on assigned tasks as well as to accept direction on given assignments.

Working Conditions and Physical Effort

No or very limited physical effort is required.

Work is performed in a typical office environment.

Must be available to work during hours:

Monday 4:00PM-7:00PM

Tuesday 4:00PM-6:00PM

Wednesday 4:00PM-6:00PM

Thursday 4:00PM-7:00PM

Friday 4:00PM-6:00PM

Saturday 8:00AM-12:00PM

Saturday Availability is a must

Kayser began selling and servicing cars back in 1925 on East Washington Avenue in Madison. Paul A. Kayser, a farmer from Fitchburg opened the dealership to sell and service the new Ford Model T. Thanks to the loyalty of so many satisfied customers and the dedicated & effective work of so many Kayser employee's Kayser grew to be the largest Ford dealership in the state. In 1985, Pat Baxter became part owner, President, and General Manager. After becoming the sole owner, Pat continued the tradition that was established by Paul. With Pat’s leadership and dedication Kayser has grown to become the market leader as well as achieving an outstanding level of customer service. In 2014, Pat promoted his oldest Son, Sean to president. Sean Baxter, along with is brothers, Ryan and Brendan, is the new generation of leadership at Kayser.

In 2019, Kayser acquired Ballweg Chevrolet Buick and added Chevrolet and Buick to round out their domestic franchise offerings. Kayser now sells Chrysler, Dodge, Jeep, Ram, Chevrolet, Buick, Isuzu Trucks, Ford and Lincoln brands in five locations in these great communities: Sauk Prairie, Pulaski, Watertown and Madison. Greg Mauch continues to lead the same great team at Kayser Chevrolet Buick, as he did under the Ballweg name. He has been the leader of this team for 9 years and is respected by all. He continues to put customers at the top of his priority list and we are honored that he is leading this team.
