Job Overview The Manager of Medical Staff Office administers the medical staff credentialing, privileging, appointment and reappointment processes and assists the medical staff in supporting the organization’s mission, vision, and goals.

Responsibilities

Maintain compliance with CMS, TJC, CDPH, DHS, federal and state regulations, medical staff bylaws, and related policies.

Oversee administrative duties including employee hiring, training, development, evaluation, job description creation, policy development, and new employee orientation.

Serve as liaison to ensure timely application, appointment, privilege, and credentialing support for medical staff and health professionals.

Accurately record minutes for medical staff meetings.

Coordinate the credentialing and privileging of new physicians and maintain the credentialing database system.

Apply continuous quality improvement principles to assess and monitor department processes, analyze trends, and implement changes.

Ensure the Medical Staff Office and credentialing program complies with medical staff standards, TJC, legal and accrediting agency requirements.

Interpret and follow regulatory guidelines, including bylaws, fair hearing plans, and policies.

Collaborate interdisciplinary to address physician concerns through established medical staff processes.

Coordinate with the quality department for OPPE and FPPE facilitation.

Work with risk management to promptly notify about peer‑reviewed cases and related claims.

Continuously evaluate work processes to improve quality, productivity, and service delivery.

Plan Medical Staff Committees activities and oversee personnel for ER call schedules.

Support the Chief of Staff, department chiefs, and the Chief Medical Officer in credentialing and related responsibilities.

Perform other duties as assigned by the Chief Medical Officer and Chief Executive Officer.

Act as key liaison to clinical department administrators, department heads, and other personnel regarding clinical faculty employment and credentialing processes.

Maintain a centralized physician/provider database, including data entry, scanning, and pre‑population of applications.

Qualifications

Bachelor’s degree (BA/BS) from an accredited college or university preferred.

Current Certified Professional Medical Staff Management (CPMSM) certification or ability to obtain within 12 months.

One to three years of experience in a medical staff office.

Knowledge of state, federal, and TJC regulations.

Previous credentialing and management experience in a healthcare setting preferred.

Working knowledge of accreditation processes, industry standards, and regulatory requirements.

Demonstrated success in medical staff services.

Experience Working With Governance Processes

Significant experience and knowledge in working with other healthcare organizations such as hospitals, managed care, credentialing verification organizations, and ambulatory care.

Other Skills, Abilities & Knowledge

Knowledge of medical terminology.

Ability to maintain high confidentiality and diplomacy.

Effective written and verbal communication skills.

Proficiency with computer systems including MS Office.
