willjoin NACCHO at a time of dynamic growth. This position is important in the Membership and Meetings Department. POSITION SUMMARY:

The Event Sales and Services Specialist contribute to the advancement of local public health practice by performing a range of responsibilities related to NACCHO’s meetings functions and advertising/marketing opportunities. This position provides logistical and organizational support to NACCHO’s meetings and advertising/marketing team. The Event Sales and Services Specialist is responsible for the management of activity requiring system coordination and extensive interaction with people, including internal employees and external stakeholders. This position reports directly to the Manager, Event Sales and Services. The Event Sales and Services Specialist is directly responsible for coordinating key logistics and managing deliverables as part of exhibit applications and sponsorship commitment forms received from organizations who wish to participate as an exhibitor or sponsor at NACCHO’s flagship annual hybrid conferences: the Preparedness Summit and NACCHO360. The position works collaboratively across the Finance, IT, MARCOM and Membership and Meetings teams to ensure the effective fulfillment and tracking of agreements and payment of invoices. Additionally, this position will also include oversight of processes and procedures to ensure efficient, responsive, and cost-effective management of NACCHO’s annual conferences, and small meetings; sponsorships and exhibits; contracting, invoicing and payments. Other key functions for this position include working directly with the Manager, Event Sales and Services to support deliverables of advertising placements sold in the Membership Weekly Newsletter, other NACCHO e-publications, on the website, and social media coordination and logistics. The Event Sales and Services Specialist will prepare and distribute reports on advertising performance, including key metrics, engagement statistics, and ROI analysis to assess results and support future planning. This position requires initiative, teamwork and solid organization and technical skills. The work involves partnerships with co-workers, members, vendors, and other external groups, and requires the use of discretion and independent judgment. The Event Sales and Services Specialist will collaborate with NACCHO staff and members to centralize, streamline, and improve NACCHO’s meetings activities and ensure superior service to partners, sponsors, and exhibitors. POSITION SPECIFIC DUTIES: Exhibits & Sponsorships Serve as the primary liaison for all exhibitor and sponsor communications post-contract, including confirmation letters, invoices, exhibitor manuals, event newsletters, and timely updates. Maintain accurate exhibitor, sponsor, and prospect database records in NetForum. Coordinate sponsorship and exhibit sales platforms in collaboration with the Manager, Exhibits, Sponsorship, and Advertising; external vendors (decorators, exhibitor portal providers); and contracted meeting staff. Work with general contractors to collect required exhibitor forms and ensure the online exhibitor service manual and portal are accurate, current, and accessible. Manage all incoming and outgoing communications with new and existing NACCHO exhibitors, establishing and maintaining effective customer service protocols. Oversee and coordinate the proofing of exhibitor applications, the mobile app, and the Exhibitor Checklist to ensure exhibitors complete all required steps for successful participation. Support revenue growth by ensuring timely submission of invoices and assisting with payment collection. Maintain and update the exhibitor contact list, including company names and key contacts. Build and sustain positive relationships with members and attendees by identifying needs, providing solutions, and recognizing opportunities. Contribute timely and relevant content for the monthly Exhibitor Update newsletter. Collaborate with Meetings Team to develop and distribute media that prepare exhibitors for the conferences. Serve as a liaison with Contracts, Finance, IT, and other NACCHO program staff to ensure exhibitor- and sponsor related inquiries are addressed promptly. Manage department email boxes as it pertains to exhibitors, sponsors, or advertisers. Assist with registration processes for NACCHO’s annual conferences and other assigned projects. Travel to NACCHO events, as needed, to support on-site operations and booth sales for future trade shows. Perform other duties, as assigned. Serve as the main point of contact for all advertising inquiries, with timely replies, proposals, and confirmations. Coordinate the production and placement of digital and print advertising across NACCHO platforms, including NACCHO membership newsletters, e-publications, websites, mobile apps, and event materials. Maintain accurate advertising sales records and client information in NetForum (or designated CRM system). Develop advertising schedules, track deadlines, and ensure materials are received, proofed, and delivered on time. Collaborate with internal teams (MARCOM, Finance, IT, and program staff) to ensure advertising content is aligned with organizational standards and delivered as contracted. Generate invoices, track payments, and assist with follow-up to ensure timely collection of advertising revenue. Provide regular updates to advertisers regarding campaign performance, deadlines, and upcoming opportunities. Support the development of media kits, sales collateral, and promotional materials for advertising opportunities. Assist in identifying new advertising prospects and revenue opportunities. Support onsite advertising activations and placements at NACCHO events, as needed. Perform other duties, as assigned. EDUCATION/EXPERIENCE/SKILLS: Bachelor's degree in relevant professional field with a minimum of 2-5 years of relevant experience and/or advanced technical training; or equivalent combination of education and experience, including a relevant certification. An advanced degree may be substituted for work experience. On occasion, extensive practical experience may be substituted for formal education, particularly if the technical specialty is unusually complex or when long experience has a greater value to the organization than conceptual understanding. Master’s degree in a relevant field is preferred. Experience working in an association environment preferred. Knowledge of office practices, procedures and equipment. Understanding professional association issues and practices, including the contracting process, meeting planning, billing, and payment collection. Experience with database support as well as CRM data management and collection. Preferred: Experience working with NetForum, SharePoint, MapYourShow, and Higher Logic. Requires knowledge of advertising timelines, scheduling, and common industry terminology. Abilities Ability to balance and effectively accomplish multiple priorities within established time frames. Strong written and oral communication skills. Intermediate level computer skills with Microsoft Office, including Word, Excel, and PowerPoint. Strong organizational and customer service skills.
