Rewired Talent Management is seeking an exceptionally organized, proactive, and resourceful Executive Assistant to support our executive team. This role requires impeccable attention to detail, strong communication skills, and the ability to anticipate needs in a fast-paced, entrepreneurial environment. The ideal candidate thrives on organization, problem-solving, and efficiency, ensuring that our executives’ time and priorities are optimized at all times.

Key Responsibilities

Manage complex scheduling, including calendar management, meeting coordination, and travel logistics for Rewired Executive Management

Prioritize and organize emails, calls, and correspondence to ensure timely and thoughtful responses.

Prepare meeting materials, agendas, and follow-up notes; track action items to completion.

Support in planning and executing company events, offsites, and key initiatives.

Maintain a highly organized digital and physical filing system for quick access to critical documents.

Serve as the primary point of and gatekeeper, handling inquiries with discretion and professionalism.

Anticipate executive needs and proactively resolve challenges before they arise.

Assist with expense reports, invoices, and administrative documentation.

Coordinate communication across departments and external partners to keep projects moving efficiently.

Requirements

2–4 years of experience as an Executive Assistant, preferably supporting senior executives or founders.

Exceptional organizational, multitasking, and time management skills.

Excellent written and verbal communication; polished and professional demeanor.

High level of discretion and confidentiality in handling sensitive information.

Strong proficiency with Google Workspace (Docs, Sheets, Calendar, Drive) and productivity tools such as Slack, Asana, or Notion.

Proven ability to work independently in a fast-moving, high-expectation environment.

Preferred Qualifications

Experience in entertainment, media, or talent management environments.

Familiarity with startup small business operations where flexibility and initiative are essential.

Preferably based in Nashville with flexibility for hybrid or remote work.
