Base pay range $27.00/hr - $33.00/hr

The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a community-based organization responding to the need for low-cost housing. Our mission is to provide safe, affordable housing with supportive services within a residential setting which enhances the independence and dignity of each person. WSFSSH develops, manages, and provides social services in housing for low-income persons, especially those who are older.

Job Summary The Assistant Property Manager will assist in all aspects of the administration and property management of the building, with the goal of enabling residents to live permanently and as safely and independently as possible. The Fischer building is a brand-new Supportive and Affordable Housing residence in the Bronx, providing 105 units of permanent housing units, including 45 studio apartments, 59 one-bedroom apartments, and one two-bedroom superintendent’s unit. The estimated start date for this new position is September 2025.

Job Duties & Responsibilities

Building Management

Prepare and process Section 8 and LIHTC initial, interim, and annual certifications and ensure all are completed in a timely manner.

Follow up with applicants, residents and third parties to obtain required eligibility documentation.

Create and maintain system for tracking and prioritizing current and accurate income certification requirements and deadlines.

Manage lease and income verification files for each tenant.

Assist with lease creation and renewal.

Process move-ins, move-outs, unit transfers, gross rent changes and lease renewals.

Enter lease information in RealPage and produce reports.

Monitor rents and utility allowances.

Track, reconcile, and resolve subsidy payment discrepancies.

Assist tenants with rent ledgers and verification letters.

Address rent arrears and develop payment or legal plans.

Attend staff meetings and manage tenant complaints.

Coordinate with social service staff on tenant issues.

Maintain incident reports and management letters.

Act as liaison between tenants and staff when manager absent.

Collect and process rent checks.

Assist with Housing Court hearings and trials.

Office Management

Supervise front‑desk personnel and cover 24‑hour shifts.

Train staff in de‑escalation and communication techniques.

Maintain professional standards and cleaning of front desk area.

Process timesheets and maintain leave requests.

Co‑supervise maintenance and administrative staff.

Manage general office functions and maintain inspection checklists.

Inspect building systems and enforce recycling/garbage regulations.

Administrative Assistance

Draft correspondence, emails, faxes, memos, and notices.

Take and maintain minutes of all meetings.

Maintain tenant, vendor, and staff lists.

Maintain tenant file contents such as lease, certifications, incident reports, and work orders.

Manage active personnel files and contract files.

Purchasing

Make bank deposits and distribute employee checks.

Request and process vendor quotes and invoices.

Required Knowledge, Skills & Abilities

Strong communication, math, and computer literacy (Microsoft Word, Excel, Outlook).

Physical, emotional and mental capability for job responsibilities.

Independent and team‑oriented initiative.

Detail oriented and organized.

Attend training and conferences as required.

Implement emergency procedures as necessary.

Required & Preferred Education, Experience & Credentials

Two (2) years of comparable work experience in supportive housing, property management or related field.

Working knowledge of LIHTC, Section 8, DHCR, NYC 15/15, ESSHI, SCRIE, DRIE.

English proficiency; Spanish preferred.

Proficiency in Microsoft Office.

Physical Requirements

Must be able to sit, stand, walk, and bend.

Must lift 25 lbs.
