Department Summary Conference & Event Services (CES) delivers exceptional service, resources, and support to events on the University of Denver campus. CES cultivates strategic relationships with internal partners to ensure successful outreach to local, national, and global organizations and provides services that explore, discuss, and enact important civic, political, nonprofit, educational, and business topics.

Position Summary The Event Coordinator supports the execution of events hosted on the DU campus through administrative duties and extensive on‑site coverage. Responsibilities include client communication, work orders, supply tracking, and on‑site execution of events. This position requires significant evening, weekend, and occasional holiday availability. The hybrid work environment requires three in‑office days per week.

Essential Functions Event Coordination & On‑Site Support

Serve as on‑site lead for assigned events, ensuring setup, execution, and breakdown.

Support CES event managers during large or complex events by coordinating logistics, assisting with client communication, and resolving on‑site issues in real time.

Manage a limited portfolio of events independently, from contracting through post‑event closeout.

Oversee and ensure timely completion of work orders with facilities, custodial, catering, AV and parking services.

Maintain accurate event records and enter details/updates into Momentus.

Provide strong customer service and maintain professionalism during high‑pressure event environments.

Use discretion and independent judgment on‑site when last‑minute decisions need to be made with vendors or clients.

Client Communication & Sales Support

Respond to inquiries, occasionally provide proposals, and assist with limited contracting.

Support CES staff in cultivating positive client relationships through timely communication and follow‑up.

Work within an agreed event budget with the clients and the events team.

Collaboration & Stakeholder Relations

Manage overall event logistics collaborating with internal DU departments and external vendors to ensure event needs are met.

Build and maintain effective working relationships and brand awareness with faculty, staff, vendors, and community partners.

Assist with occasional special projects or initiatives assigned by CES leadership in addition to other duties as assigned.

Supervisory Duties

May oversee student staff and contracted service providers including other University employees (parking, custodial, etc.).

Knowledge, Skills, and Abilities

Excellent project management and organizational skills with the ability to manage multiple projects simultaneously.

Proven ability to troubleshoot, problem‑solve, and work in a fast‑paced environment; excellent customer service, communication, and interpersonal skills.

Willingness to learn event management software and processes.

Ability to thrive in a high‑paced, team‑oriented setting.

Demonstrates dependability, flexibility, and adaptability in a transitioning environment.

Displays outstanding attention to detail and commitment to quality and performance.

Proficient in Microsoft Office Suite.

Required Qualifications

Undergraduate degree or equivalent experience.

One to two years of experience in events, hospitality management, or customer service.

Preferred Qualifications

Three-plus years of experience in event, hospitality management, or customer service.

Proficiency with Momentus software.

Experience in higher education.

Working Environment

Standard office and event environments.

Noise level is quiet to moderate.

Physical Activities

Ability to sit or stand for an extended period of time.

Ability to move about the campus pending events with the capability of transporting objects up to 50 lbs.

Work Schedule This position requires significant flexibility, including evening, weekend, and occasional holiday availability. A hybrid work environment is offered, with an expectation of three in‑office days per week.

Salary Grade Number The salary grade for this position is 7.

Hourly Range The hourly range for this position is $24.53–$28.10.
